User-Specific Printer Settings - Windows 2016

Hi there,

We use a Windows Server 2016 environment, and are running QuickBooks Enterprise 21.0. It seems that the QBPRINT.QBP file, storing QuickBooks printer settings, is being stored at C:\ProgramData\Intuit\QuickBooks Enterprise 21.0\, rather than in C:\Users\<username>\AppData\Roaming\Intuit\QuickBooks Enterprise 21.0\TSPrinterSettings\

 

All the documentation I can find only points to Windows Server 2008 and 2012. Well, Windows 2008 isn't supported anymore, Windows 2012 is on its way out, so I assumed the documentation just hadn't been updated. I'm wondering if anyone can help me configure QuickBooks to store the QBPRINT.QPB file within each user's AppData, rather than in ProgramData. The issue with ProgramData is that each user wants to have their own printers set up, but as it stands, users keep overwriting each other's printer configuration.

You’re right, the QBPrint.qbp file location should be C:\Users\<username>\AppData\Roaming\Intuit\QuickBooks Enterprise 21.0\TSPrinterSettings\. We’ll have to display the hidden files and folders or search for files using Windows to find them.


The process depends on the Windows version you’re using. Let show the steps on how to do it in Windows 10.

 

  1. On your keyboard, press the Windows key + E to open the Windows Explorer.
  2. Then, hit Ctrl + F to select the Search Box.
  3. Enter the file name in the field box.
  4. If you only know the file extension, substitute an asterisk for the file name and include the extension. For example, enter *.qbw to search for QuickBooks data files or *.doc to search for Microsoft Word documents.
  5. This will show a list of the search results.
  6. From there, look for the correct location.

 

Please note the same file name might appear in multiple directories or folders with different file extensions. Check out this article for more details: Display hidden files and folders or search for files using Windows.


If you continue to get the same result, delete the file. Then, start QuickBooks again and print any transactions. The desktop program will generate a new Qbprint.qbp file.

Thanks for your quick reply. However, I should have mentioned that I'm a senior server/network technician, and I have indeed enabled "show hidden files." The issue is that QuickBooks is saving the QBPRINT.QBP file into ProgramData, and not into AppData, resulting in the symptoms I've already explained.

 

I've tried the steps of manually renaming the file, and also running the QuickBooks Print and PDF Repair Tool, to no avail. Renaming the QBPRINT.QBP file results in QuickBooks placing a fresh QBPRINT.QBP file back in the C:\ProgramData folder, rather than the C:\Users\<username>\AppData\Roaming folder.

 

I need to know how to get QuickBooks to save this file to AppData rather than ProgramData, as none of the documented steps I've found online have helped.

I've got some insights into why QuickBooks is saving QBPRINT.QBP file int the AppData,  CraigWebster.

 

The C:\Program Data\Intuit\QuickBooks [version] is actually the default file location of QBPrint.qbp. QuickBooks doesn't backup data from add-ons, like Printer Settings.

 

Hence, you can manually move the file where ever you want.

 

If it isn't moving, you can perform a reinstall QuickBooks for Windows using a clean install.

Hey there,

 

Okay, so unfortunately the "Resolve printer issues" link doesn't have any real bearing on this issue.

 

I did do a clean reinstall of QuickBooks, and upon launching it, it does create the C:\Users\<username>\AppData\Roaming\Intuit\QuickBooks Enterprise Solutions 21.0\TSPrinterSettings folder, but it still puts QBPRINT.QBP in the C:\ProgramData\Intuit\QuickBooks Enterprise Solutions 21.0\ folder, meaning users still won't be able to save their printer settings to their own user accounts.

 

Any other thoughts?
