I upgraded from QB 2018 to QB 2021.  Previously we were able to have 2 consecutive users, now only one user.  I tried to rectify it with QB chat but they said they aren't able to help.   Does anyone know how I can get 2 seats- one admin and one manager?

Let me share some information about how QuickBooks user license works and help you have two users in QuickBooks Desktop, @Acheney.

 

When you purchase QuickBooks, you are free to install QuickBooks on as many computers as you need. 

 

If you wish that you and the other user will be working in two separate files, it wouldn't be necessary to purchase two users (unless you wanted to). Instead, you would work in the two different company files, on your own computer. Only, you'll need to ensure that once you create the file, it's moved to your hosted computer, so the Database Server Manager can scan the file to share it for multi-user mode. Then, you'll need to make sure you have your networking set up correctly. This is to ensure no break in the connection between the host computer and client computers.

Moving forward, you'll want to purchase another user license, simply follow the steps given in this resource: Add a user license to your QuickBooks software.

I do not know how this is resolved.

My situation is that I am upgrading QB2014 Pro to QB2021 Pro desktop single user. We have 2 users using this at different times for the 2 companies. So far it has been installed on Desktop 1 and we have to literally change seats to sit at Desktop 1 in order to use the software.  I do not wish to purchase multi-user QB as we do not need it.

I would like to install it on Desktop 3 and have the data for both companies accessible to Desktop 1 and Desktop 2 at different times - that is, not concurrently.

How can I achieve this?

I can help you with installing QuickBooks Desktop and setting up your PC to access data for both companies, @Naynakes.

 

You'll just have to install QuickBooks Desktop on this 3rd PC and then set up a multi-user network so computers on your network can access your company files.

 

First, make sure that your computer's operating system, hardware, software, and other requirements are compatible to run QuickBooks Desktop. Then, ready your product and license numbers. 

 

You can get the installer for QuickBooks Desktop by going to this Downloads & Updates page.

 

Once done, you can now install this to your new PC:

 

  1. Locate the downloaded setup file on your computer. 
  2. Click to launch the setup.
  3. Follow the prompts to finish installing your QBDT.

 

After that, activate your QBDT:

 

  1. Go to the Help menu and select Activate QuickBooks.
  2. Follow the prompts to verify your info.

You still need to enable the multiuser mode to do so. Another option, you don't need to install QBD on Desktop 3. Consider having an app to access Desktop 1 or 2 from Desktop 3 by internet connection.

Thank you!  Would this still work if I have the single user QB 2021 Desktop Pro?

Do I need to install anything on Desktop1 and Desktop 2 to initiate QB?

I don't want to have Desktop 3 tied up while 1 or 2 is using QB.  Also 1 and 2 will never use QB concurrently.

Desktop 1 = QB Desktop single user + Remote app

Desktop 2 = QB Desktop single user + Remote app

Desktop 3 = Remote app

 

Desktop 3 will access Desktop 1 or 2 by remote app. Explore this one.

QB2021 Pro installed on Desktop 3 cannot be used on Desktop 1.  I'm quite disappointed by this.  I have a single user license and do not need another user.  Just want DESK1 and DESK2 to access the data that is on DESK3.

Desktop 3 = QBD Pro 1 user + Remote app

Desktop 1 and 2 = Remote app

 

Desktop 1 OR 2 will access Desktop 3 by remote. During the remote session, Desktop 3 user will not able to work on it.
