When approving time off, how can I see an employee's PTO balance?

It seems logical that QBO would show me an employee's current balance as I consider approving the PTO request.

When approving time off, how can I see an employee's PTO balance?

Thank you for reaching out about viewing an employee's Paid Time Off (PTO) balance in QuickBooks Online (QBO), Creeks. I understand the importance of having this information readily available to make informed decisions on approving PTO. Let me guide you through the process to ensure you can access and view an employee’s current PTO balance.

If you're using QuickBooks Time, you can easily view an employee's PTO balance by accessing their profile and checking the time off details section. I'll show you how:

  1. Go to the My Team menu.
  2. Select the specific employee whose PTO balance you need to review.
  3. Click on the three dots and select Edit.

You can also refer to this article for more details about managing your team members' time off entries in QuickBooks Time: Approve and manage time off entries for team members for QuickBooks Time.

On the other hand, you can also view an employee's PTO balance during payroll processing.

Here's how:

  1. Go to the Payroll section from your main QuickBooks menu.
  2. Click the Employees tab.
  3. Hit the Run payroll button.

  4. Select a pay schedule for the payroll.
  5. Once in the payroll detail screen, click on the name of the employee whose PTO balance you need to check. This will expand their payroll details, allowing you to view not only their PTO balance but also other payroll-related information.

Additionally, you can also allow your team members to use QuickBooks Workforce to ask for time off, keep track of their past requests, and see how much time off they have left.

I hope this information clarifies how you can view an employee's PTO balance when approving time off requests in QuickBooks Online. If you need further clarification or have more questions about this process, please don't hesitate to reply below, Creeks. We're here to assist and ensure you have all the information you need for effective decision-making.
