When I use a recurring invoice, it won't update it with revised info

When I "use" a recurring invoice transaction, and update it with current dates, billing changes etc... it no longer asks me if I want to update the saved transaction.  What happened?

Hi @takeastroll.

 

If you wanted to update the details based on the last invoice transaction, make sure to update the Unscheduled template itself. You can click ▼on the Action column to Edit the recurring invoice.

So the next time you use the recurring invoice transaction, it would have the updated details. This is also the reason it doesn't ask you to update the recurring invoice template.
 

Additionally, in case you want the invoices to be created automatically, you can change them into a scheduled recurring template. Here's how:

  1. Click the Gear icon on the upper right.
  2. Select Recurring transactions.
  3. Find the recurring invoice in question and then click the drop-down ▼ on the Action column.
  4. Click Edit, then change the Type to Scheduled.
  5. Enter the details and select Save Template.

Hey thanks.  I've done it this same way for 8+ years.  I choose the invoice from the recurring transaction list, choose "use" from the drop down on the right, change the pertinent dates (it's for monitoring billing so I need to update the date range), print, or saved as pdf... then Save & Close.  At this point it would ask me if I wanted to update the template... but it doesn't ask me any more???  When I go back into the recurring transaction that I just did (to move the date forward by a year), it has the PREVIOUS invoice info in it, without the updates I had just made.  Sigh...

Note: These are all REMINDERS... not scheduled.  But that has never made a difference before.

Thank you for getting back to us with more details about the concern you're having when editing your recurring invoices, @takeastroll.

 

You should be asked to Update for all or for One time only every time you edit items or customers in a specific template. You can check this article for more information: Edit a recurring template.

 

I suggest clearing your browser's cache to isolate this issue. A regular browser's cache stores temporary internet files from your browsing history. It's possible that piled-up cache in your regular browser caused this unusual behavior.

 

I've got some steps to help fix this issue. First, you'll have to sign in to your QBO account using a private browser. This helps isolate the issue since it doesn’t store data in the cache. Here are the following keyboard shortcuts: 

 

  • Safari: Command + Shift + N
  • Mozilla Firefox: CTRL + Shift + P
  • Google Chrome: CTRL + Shift + N 
  • Microsoft Edge:  CTRL + Shift + P

 

If it works, here's how to clear cache and cookies to fix issues when using QuickBooks Online. Restart your browser right after. 

 

You can also try using other supported browsers (Firefox, Google Chrome, Safari, Microsoft Edge) if the steps above didn’t work.

I have the same issue and clearing my cache or working in an incognito browser doesn't work. 

 

I did my last lot of invoicing in the middle of March for February and this worked then.   I normally save the invoice then when I click SAVE and CLOSE, I am given the option to update the recurring (unscheduled) invoice.

 

This isn't working now and is extremely frustrating!

Usually, performing the troubleshooting steps provided above resolves any unusual behavior in QuickBooks. Since you're still unable to see the option to update, we will need to investigate further. To do that, I recommend contacting our Customer Care Team. They have the necessary tools to review your page and might work with our engineers to resolve this issue.

 

Here's how you can reach them:

 

  1. Click the Help icon located in the upper right-hand corner.
  2. In the Help window, click the Contact Us button located at the bottom.
  3. Enter your question and click Let's talk.
  4. Choose either Start a chat or Call us.

If you have the new QuickBooks Assistant help update, you can follow these steps:

 

  1. In your QuickBooks Online account, go to the Help > Assistant.
  2. Type Talk to a human and proceed with I still need a human.
  3. Click the Contact us link.
  4. Select either Messaging or Callback.

Brenda15..  It didn't work for me either... Incognito Chrome Browser, cleared cache... still won't ask if I want to update the template after creating the invoice.

Did you have any luck with customer service? SO frustrating.  Bet we're not the only ones...

I have the same problem. Saving the latest invoice template is how I know where I left off for next time. The only (annoying) way I've found to save it is to save the invoice, then click on "Make recurring" as if I'm going to save the template, then cancel that and try to save it again. It usually will then ask me if I want t save the changes. But QB definitely did something to mess this up since it's happening to multiple people around the same time. It would be great if they'd make things easier rather than harder.

I have the same problem.  It presents the same way on edge and Chrome.  Tech needs to look at this, it is a web app problem.  NEEDS TO BE FIXED!!!!

... A crude workaround is to add or delete an account in the JE, this then triggers option to update recurring transaction, just like before.

We haven't received reports today with the same issue, hantsguy21.

 

If you haven't tried running some troubleshooting steps shared by MaryJoyD, I suggest giving it a try.

 

If you've already performed the said steps, I'd recommend reaching out to our Phone Support. This way, our engineers can open an investigation into this matter.

Let me guide you with these steps:

 

  1. Click the ? Help icon.
  2. Under Assistant, enter Talk to a human.
  3. You may enter Unable to update recurring invoices as your keywords.
  4. Select No.
  5. Select either Chat with us or Have us call you.

How can you say you have not had reports of this issue. a quick google and it shows it a very long and frustrating issue. 

 

Now I have been a customer for over 15 years on desktop and have moved one of our companies over to Online due to the fact you have stopped desktop a very bad move if I am honest.

 

Now I am online the recurring transaction option that I used every month on desktop does not work how it should on online. When I click and use say 01/03/2022 once used on desktop the date would change and would say next due 01/04/2022 and so on. Why does online not work like that? Or how do I get it to work like that as unless it does I will move back to desktop as its an important function for me with monthly invoices!

How can you say it is not an issue when you google it loads of issues come up about the same problem!

You are not answering the question are you? What’s the point of having a function if it does  not work? The date should change!!!

 

Also why send a link to compare desktop ot online when QuickBooks are pulling desktop away from the UK

I have a workaround which is to use/open the recurring template, save it straightaway which then creates the invoice, change the data on the invoice and then when you close and save, it will ask you to update the template.

We appreciate you for coming up with an alternative to updating an invoice template. We can also update the details based on the last invoice transaction. Just make sure to update the Unscheduled template and click on the Action column to Edit the recurring invoic

@RCV Thanks for all that but I don't think you understand what the original issue was and still is.

 

When you use a recurring transaction, you USED to be able to update and amend the invoice and then when saving, the system would ask if you wanted to update just once or update the template.  The system DOES NOT do that now unless you use a workaround. It just saves the invoice without updating the template.

Since this issue persists, I suggest you reach out to our Support Team. They can further investigate it and see what's causing this error.

  1. Click the (?) Help icon and enter Talk to a human (then type it again when prompted).
  2. When asked by the bot, enter "Recurring Invoice".
  3. Select I still need a human, then proceed with Contact us or Get help from a human.
  4. Choose either Chat or Callback.
