When I use a recurring invoice, it won't update it with revised info

When I "use" a recurring invoice transaction, and update it with current dates, billing changes etc... it no longer asks me if I want to update the saved transaction.  What happened?

Hi @takeastroll.

 

If you wanted to update the details based on the last invoice transaction, make sure to update the Unscheduled template itself. You can click ▼on the Action column to Edit the recurring invoice.

So the next time you use the recurring invoice transaction, it would have the updated details. This is also the reason it doesn't ask you to update the recurring invoice template.
 

Additionally, in case you want the invoices to be created automatically, you can change them into a scheduled recurring template. Here's how:

  1. Click the Gear icon on the upper right.
  2. Select Recurring transactions.
  3. Find the recurring invoice in question and then click the drop-down ▼ on the Action column.
  4. Click Edit, then change the Type to Scheduled.
  5. Enter the details and select Save Template.

Hey thanks.  I've done it this same way for 8+ years.  I choose the invoice from the recurring transaction list, choose "use" from the drop down on the right, change the pertinent dates (it's for monitoring billing so I need to update the date range), print, or saved as pdf... then Save & Close.  At this point it would ask me if I wanted to update the template... but it doesn't ask me any more???  When I go back into the recurring transaction that I just did (to move the date forward by a year), it has the PREVIOUS invoice info in it, without the updates I had just made.  Sigh...

Note: These are all REMINDERS... not scheduled.  But that has never made a difference before.

Thank you for getting back to us with more details about the concern you're having when editing your recurring invoices, @takeastroll.

 

You should be asked to Update for all or for One time only every time you edit items or customers in a specific template. You can check this article for more information: Edit a recurring template.

 

I suggest clearing your browser's cache to isolate this issue. A regular browser's cache stores temporary internet files from your browsing history. It's possible that piled-up cache in your regular browser caused this unusual behavior.

 

I've got some steps to help fix this issue. First, you'll have to sign in to your QBO account using a private browser. This helps isolate the issue since it doesn’t store data in the cache. Here are the following keyboard shortcuts: 

 

  • Safari: Command + Shift + N
  • Mozilla Firefox: CTRL + Shift + P
  • Google Chrome: CTRL + Shift + N 
  • Microsoft Edge:  CTRL + Shift + P

 

If it works, here's how to clear cache and cookies to fix issues when using QuickBooks Online. Restart your browser right after. 

 

You can also try using other supported browsers (Firefox, Google Chrome, Safari, Microsoft Edge) if the steps above didn’t work.
