why are my paid invoices not in my bank account for use

I understand how important it is to have all your financial transactions reflected in QuickBooks Online (QBO), @usemyownmedia. It can be concerning when the numbers don't seem to add up, especially when it involves the status of your hard-earned money. Rest assured, you're in good hands, and ensure that everything is synchronized and up to date.

Invoices will go through as paid but not deposited when the payments are recorded under the Undeposited Funds. To reflect these payments, you'll need to update the status to Deposited and manually transfer the funds from the Undeposited Funds to your actual bank account. This is done through the Bank Deposit feature in QuickBooks Online.

Here's how:

  1. Go to +New and click Bank Deposit.
  2. Choose the bank account here to deposit the amounts.
  3. Select the undeposited invoices from the list.
  4. Save the deposit.

On the other hand, if you're using QuickBooks Online Payments for the first time, your first deposits may take longer as we set up your account. After this setup, your payments will be deposited within two business days.

Lastly, I recommend reconciling your account after making deposit to ensure your financial records remain accurate and up-to-date. Here's your reference: Reconcile an account in QuickBooks Online.
