Wow - quickbooks does not have a way to print out a partial packing slip?!?!?! >>>This is basic functionality which is lacking.

For example, I create an estimate which has 4 widgets. I have 3 on hand which I can deliver today and 1 which I will deliver after I get more in. I want to create a packing slip to deliver the 3 widgets which are available now. When I create the invoice from the estimate, quickbooks pulls in the 4 widgets for me and ties them back to the estimate. Great! However, when attempt to print the packing slip, it shows 4 widgets because that is what is on the invoice and I am unable to change the quantity on the invoice because the line item is tied back to the estimate. I have to break the tie to the estimate before I can change the quantity on the invoice to 3pcs, print the packing slip, then change the quantity back to 4 on the invoice again. I cannot imagine that quickbooks thinks it is rational for users to have to jump through hoops in order to print a partial packing slip. Is there a better way to do this?

- Yes, if your sale is for 4 widgets, then it can't be completed unless you have 4 to send. If you printed a packing slip with fewer widgets, how would that be helpful?  Seems like it'd just create confusion as your sale would not be fulfilled.

- I just tried it and I can change the qty as needed, but I was using Desktop where that works fine.

- How is it helpful to do this? Since there's no way to track a partial shipment for a sale, no way to know what wasn't shipped, for example, it seems you're creating a confusing situation when doing this.

I don't think you understand fully what I am trying to accomplish - we do send partial shipments - as soon as items are available, we send them. This is a very common business practice.

 

This is why we have a valid need to print a partial packing slip for the numerous partial shipments which may be sent for one invoice. 

 

It is not my intention to immediately invoice the customer but I am obligated to create the invoice because that is the only way I can get to the packing slip. Is there a way to create a packing slip without an invoice? And, again, is there a way to print several partial packing slips for one invoice?

 

We do not send the invoice to the customer until all the items on the invoice have been delivered.

Hi there, amlong24.

 

I can share detail on how you can create a partial invoice in a single estimate.

 

In QuickBooks Online, you can turn on the progress invoices feature. This way, you can split or create multiple invoices out of a single estimate. I'll show you how.

 

  1. Go to the Settings ⚙ or Gear icon.
  2. Select Account and settings.
  3. Click on the Sales tab.
  4. In the Progress Invoicing section, turn on the radio button.
  5. Hit Save, then Done.

 

Once done, you can refresh your page. Then, go to the Sales menu to change the status of the estimate to pending. Changing the estimate status will let you edit the quantity of an invoice linked to it.

 

Here's how:

 

  1. Go to the Sales menu.
  2. Locate the estimate you'll want to change the status.
  3. In the Action column dropdown, choose Update status.
  4. Change the status to Pending.
  5. Hit Ok.

My system was already set to Progress Invoicing > Yes. 

 

I changed the Estimates to Pending as you suggested, however, when I go to the invoices, I am unable to edit the quantities listed. All I can do it check the tax box. Please see the screenshot.

 

I think this may have something to do with the way I am creating the invoices??? First, I create the estimate. When I receive the order from the customer, I return to the estimate and click the Create Invoice button which is in the upper right corner, near the Invoice dollar total.

 

Is there something else I must do to be able to update the invoice quantities?

Consider having an additional app to have the partial shipment feature. If you are using QBO US version, QB Commerce offers this feature.

Why should anyone using quickbooks have to pay for additional modules to get basic functionality??

 

I have no need for the Commerce module - I am not selling on any platform. I just want to be able to print a partial packing slip. Partial shipments are an integral part of most businesses and, as such, this basic functionality should be readily available in Quickbooks without having to purchase additional modules or integrate additional apps.

I'm here to share with you some additional information about updating the quantity of an invoice created from an estimate and printing packing slips in QuickBooks Online (QBO).

 

The way you've created your invoices doesn't affect the ability to update the quantity of your transactions. Once an invoice is created from an estimate, the system won't allow you to update the quantity from the QTY column.

 

The good news, you can manually calculate the percentage or amount from the Due column to adjust the quantity.

 

Here's how:

 

  1. Open the invoice.
  2. Tap on Due.
  3. Adjust the value (Amount or Percentage) to modify the quantity.
  4. Hit Save and Close to record the changes.

My request is to CHANGE the QUANTITY.  No person wants to have to do mental math in order to change the Amount Due by a Percentage or Amount of the total so that the system can recalculate the quantity for that line.

 

That is quite possibly the most inelegant workaround I have ever heard of.

 

What is missing is a column called "Shipped Quantity" where the user can key a value. This shipped quantity value is what is needed on the invoice to reflect a partial shipment for the Packing Slip. 

 

Example Invoice:

Item.            Quantity       Rate         Amount       Shipped Quantity    

Widgets        2                 $5.00       $10.00        1                              

Cogs            4                  $2.00       $8.00          0

 

Example Packing Slip:

Item.            Quantity      Shipped Quantity    

Widgets        2                1                             

Cogs            4                 0

Allow me to chime in and provide other ways on how to add a shipped quantity to your invoice.

 

You can add a custom field to the invoice to track your shipped quantity. Let me show you how in your QuickBooks Online (QBO) account.

 

  1. Hover to the Gear icon and select Custom fields.
  2. Click Add field.
  3. Enter the name (shipped quantity).
  4. Select All sales forms to have the field visible for that type of transaction.
  5. Then click Save.

Additionally, the option to show the custom field in creating a packing slip isn't available. As a way around, you can look for a third-party app that has this feature. You can go to the Apps menu in your QBO account or visit our QuickBooks Apps Store for reference.

 

I recognize having this option can aid you in seamlessly running your business. I'd propose sending your feedback to our Product Developer team so they can help you with your QuickBooks experience.

We checked with 3 other accounting apps and they are in the same league with QBO. They don't have the partial shipment feature and still need a workaround or having an additional app.

Please re-read my previous comment. I am trying to change the middle section of the Invoice so that a new column appears for each product so that a quantity shipped can be keyed for each line item. Please see the below screenshot where the new column is needed.

 

I am not trying to add a custom field to the top section of the invoice.

QB is supposed to be the leader in the industry and should not be satisfied with comparing itself to the status quo. Instead, it should be anticipating customer's needs and providing users with product enhancements geared to increase customer satisfaction and reduce complaints.

 

I have been researching this topic and see that going back to before 2018 QB users have been asking for this feature. I am hard pressed to accept that functionality to print partial invoices has not been developed or implemented for QB online, especially since it is available for the QB desktop products. 

 

Additionally, there are several other features available to desktop users, such as modifying the middle section of the invoice, which are unavailable to the online community. QB is currently pushing customers to an online model, and, thereby, doing everyone a disservice because the online version is sorely lacking when compared to QB desktop counterpart.

 

QB could do us all a favor by allocating more resources to improve the online product so that it at least matches the current QB desktop functionality.

About the only thing I can think of to do is to use Progress Invoicing, which enables the creation of multiple Invoices from one Estimate. In your case you'd create them based on the availability of the items on the Estimate.The Progress Invoicing feature tracks what remains to be invoiced from the Estimate, so over time QuickBooks will help you invoice the entire Estimate on several Invoices. At least, that's how QB Desktop works, but based on this thread it looks like the Online version perhaps does not. I'm not clear on how they call it progress invoicing it if doesn't support splitting up a line item by Qty over multiple invoices. It seems it would have to.

Well, they've been trying for 20 years. They still haven't got to the point where they can keep QB Online actually online in a reliable way. I'd not hold your breath. I don't think they'll ever, ever, catch up to QB Desktop. Honestly, I don't think they want to.
