How to see sick or vacation time on a paycheck

Learn how to put your employees’ sick and vacation time on their paycheck.

Need to show how much sick and vacation time they have? You can have time off hours appear on an employees paycheck. Here is how to do that.

QuickBooks Online Payroll and QuickBooks Full Service Payroll

  1. Go to Workers or Payroll menu, then select Employees.
  2. Select Run Payroll.
    • If you have more than one payroll schedule, select the schedule, then Continue.
    • Select the employees you'd like to pay.
    • Enter the time off hours.
  3. Select Preview payroll.
  4. Select Preview payroll details or Submit payroll.
  5. Select Finish Payroll.

QuickBooks Desktop Payroll

  1. Open the Preview Paycheck window when creating a paycheck.
  2. In the Earnings section, go to the Item Name column and from the dropdown, choose the sick or vacation item you created.
  3. For hourly employees, enter an hourly rate in the Rate column and the number of hours in the Hours column. (If the time will be "unpaid," then set the rate to 0).
  4. For salaried employees, enter the number of hours worked next to the regular salary earnings item in the Hours column and the number of hours paid for sick/vacation time next to the sick/vacation salary earning item in the Hours column. QuickBooks will divide the salary rate accordingly once the correct number of hours are entered.
  5. Continue to create paychecks.

Intuit Online Payroll or Intuit Full Service Payroll

  1. Go to Payday.
  2. Select a pay schedule if you have more than one.
  3. Select the employees you'd like to pay.
    1. If you have more than one payroll schedule, select the schedule, then Continue.
    2. Select the employees you'd like to pay.
    3. Enter the hours and memos.
  4. Select Create Paychecks.
  5. Enter time off hours for the employee.

Confirm the amounts and payment methods, and select Approve Paychecks.
