2 Memo fields on vendor bill forms - 2019 QB is showing the 1 I don't use

I used to put the info on the memo field in the bottom of form and the info would show up when I needed to look back and find how it's filed on my computer. Now the memo information on the top of the input form only shows up so I have no history I can see any longer. How do I switch it back?  See the attachment

Yes, you're right. Only the memo field from your vendor bill shows up on the Transaction tab of your Vendors Information window. Since you can put on different memo details per transaction on your line item, QuickBooks instead uses the memo field from your vendor Bill to show up.

Yes, you're right. Only the memo field from your vendor bill shows up on the Transaction tab of your Vendors Information window. Since you can put on different memo details per transaction on your line item, QuickBooks instead uses the memo field from your vendor Bill to show up.

Yes, been on with QB for a long time today!  BTW, beware, initially after posting this, I got a call from people who said they were from QB but weren't - scammers trying to sell 'support plans'.  Hung up and got the real QB people to call me - legit.  And the agent tried all kinds of things.  Unfortunately, that feature isn't a part of 2019 - only the general memo.  

 

I submitted a request to fix it or have both 'memo' areas as an option to display when pulling up the vendor. Hopefully that can be done as an update in the near future so it will be easy for me to have past history.

Thank you!  They reached out to me pretty quickly after I posted on the Q&A forum so I thought it was official but apparently not.  I did tell the 'real' QB Agent about it and he said he would advise internally.

 

And I did sent feedback / suggestion on resolving the issue so I think we are all good for now.  Appreciate all you guys do!

Please, what is the fix? I am entering batch transactions and prefer the memo field that gets filled in to fill in both places, but only fills the top memo section.

When entering Batch vendor bills, the memo you've entered will be displayed on the Memo field above the transactions tab. Also, this information will be included on the check when you issue a payment for the bill. I've got a screenshot for your reference.

While the memo entered on each line item included in the bill is specific to the item itself. It could denote as a full description or specification of the item. This will not be included when you print the check payment.

 

Currently, there's no direct way to automatically enter the memo on the transaction field. What you can do for now is to manually enter it. You can refer to this article for more detailed steps: Enter bills.

I am trying to find out how to get the Memo line you show above - at the bottom of the "Cheque-looking" top part of the Bill entry page- to show on reports. All the reports I have tried pull the transaction-line Memo field. Is this possible?

Thank you for joining the thread. I'll walk you through how you can get the information on the memo field to show up on your QuickBooks Desktop (QBDT) reports.

 

Let's take the Vendor Balance Detail report as an example. Follow the steps below:

 

  1. Go to the Reports menu.
  2. Highlight Vendors & Payables
  3. Select Vendor Balance Detail
  4. Click the Customize Report button.
  5. On the Columns search box, type in Memo, then place a check on it.
  6. Press OK.

Thanks so much for the prompt response. I've posed the Q on this thread as - like the Qs above - there are 2 Memo fields in the transaction recording and I can only get one to show by following your steps. 

 

The one in the reports is the one in the bottom transaction recording window. The one I would LIKE to see is the one in the top section - circled in the attached - in the position of the Memo line on a Cheque. I was hoping to use this for tracking additional information for some of our billings. 

 

I see from the response above that info in that field would transfer to a cheque so is it the case that the "Memo" label is just like the label on the cheque, and not actually a field we can pull to reports?

I appreciate the details a lot. Yes, that's correct that the "Memo" label is just like the label on the check. The good thing is, you can pull up all the characters entered in the Memo field on a specific report in QuickBooks.

 

You'll want to customize the Transaction Detail by Account report to see the Memo on the top section as well as the memo detail on the bottom. I've added a screenshot as a guide.

From there, you'll see the associated memos in vendor transactions.

 

Here's how:

  1. Go to the Reports menu.
  2. Hover to Accountant & Taxes and then choose Transaction Detail by Account report.
  3. Click Customize Report
  4. Search Memo, then put a check on it.
  5. Go to the Filters tab, use Search filter to type Name and then choose Name.
  6. *Search specific vendors/customers from the drop-down name list or select Multiple names to pick vendors/customers for filtering.
  7. *Then use the Search filter again to search for Transaction type, then choose Multiple transaction types from the list. Pick the Bill and other relevant transactions.
  8. Click OK.

As you can see, the report shows the Memo entered from the top of the Bill window and also the Memo details on the bottom of it.

Additionally, you can click the Memorize button to save this customization, so you won't have to recreate this moving forward. Then run it under Memorized Reports in the Reports menu. You can also check the article shared by my colleague to learn more insights into customizing reports.
