Add a private memo to an invoice

Is there a way to add a private note to an invoice? I know this can be done on individual customers but in my case I need detailed ongoing notes on invoices that are subject to collection activities.

Yes, you're correct with adding notes on each customer. 

 

Since you'll need to create private notes on the invoices, you can use the Memo field at the bottom of the transaction. Please see the screenshot below to serve as your visual guide.

Thank you @RaymondJayO, unfortunately, the memo field doesn't appear on my Quickbooks for Mac invoices (see attached screenshot) nor on my Quickbooks online invoices. Any other suggestions?

Adding a private note to your invoice is unavailable in QuickBooks Online. I will let our developer know that you'd like the private note field on your invoices.

Also mention the other approximate 500+ requests for this feature that were on the requests website,  until all 60,000+ requests were deleted last month

I need to be able to add a note to certain invoices.   And, be able to include this field on Reports.   I have quickbooks online.      Can you please advise how to do this.

Hello @Kirsty McGhie,

 

We're unable to add the customer note to the invoice. Instead, you can use a custom field to your invoice to add it. Let me walk you through how.

 

  1. Go to Gear, then Custom Form Styles.
  2. Edit your invoice template. Then, choose Content and tick the header of the invoice.
  3. Click the +Custom field link. Then, mark the box and type "Note".
  4. Hit Done.

 

Once done, manually enter the note field when you create an invoice. You can also add this field when running reports. Please see this article for more information about customizing invoices, estimates, and sales receipts in QuickBooks Online. The screenshots at the bottom will show you how it looks like to add the note and include it on the report.

 

You might also want to import custom form styles for invoices or estimates for more in-depth customization.

Add a private memo to an invoice

Hi there, 

 

I Imported my invoice and so the amendment using custom form was not available. However I found that if I clicked on the invoice and went to the gear icon it took me to a screen, change what you see. There was a field that was blank, I added "Memo Rec" as a name for this field and then closed the window.

This field then appears in the invoice form, and can be populated. 

Then you can add this same field to the reports.  It doesn't appear for the client.
