Adding custom "number of days" field to invoices for rentals.

I'm trying to set up Quickbooks to handle rentals, but need to add a number of days (and possibly weeks as well). Like this:

 

Item  Description  Cost  Qty  #days  Amount (=cost*qty*days).

 

Is there any way to do this? I could see a need for adding other quantifiers as well, like discounts that apply only to certain items, or different rental periods.

I'll help with your question about customizing invoices, Mattymatt.

 

There's an option to add a custom field to sales transactions in QuickBooks Online.  However, custom fields will show up in the header section and not in the activity or columns section where the product/service items are located. Here's how to add a custom field:

 

  1. Go to the Gear icon and select Custom form styles.
  2. Click New style and select Invoice.
  3. Proceed to the Content tab and click the header section of the invoice in the right side.
  4. Scroll-down a bit and click Custom field.
  5. Check the boxes for custom fields and type in the name or caption of the custom field.
  6. Click Done

Aside from that, you can also import your own template using an MS Doc. This option gives you more flexibility when customizing your invoice and other sales form. Let me share this article to guide you through the process: Import Custom Form Styles For Invoices Or Estimates.

 

You'll also want to run the Invoices and Received Payments report. This will give you a quick review of all invoices and the payments that are applied to them. Just go to the Reports menu and type in the name of the report in the Search bar.

Thanks for the reply, but this doesn't address my question. I want to add a field to the table that adds another variable for calculating line item amounts. Specifically I want to add "number of days" to the calculation. Rental items require Price, Qty, and Number of Days to calculate the line item amount. Is there any way to do this? There does not seem to be an EXMap Field to accommodate this if I did a custom template.

Joining this discussion to share some insights about the feature you're looking for.

 

At the moment, columns or line items with calculated formula is not yet available in the program. The steps shared by my colleague works for custom fields that requires manual input of entries.

 

Having the preference that you want is a great idea to add in the program. I'll make sure this is relayed to our Development Team. If you want, we have a list of invoicing apps in our website that might have this feature. This way, you can create the invoices outside the program and import them in QuickBooks for tracking purposes. Visit our app store to find the best tool for you.
