Apply existing deposit in bank account to existing invoice

I am using desktop pro 2019.

I download transactions from my bank and use the bank feed to review and assign account to them,

Some of them are deposited by bill.com that come directly to the bank.

I assigned "Account Receivables" and Customer in the transaction list in the bank feed and approved it.

Now the bank account in QB shows the deposit.

I would like now to assign this deposit to an existing invoice for this customer and could not find a way. I read a lot on how to do it but it referred to the online version. 

Is possible to do it in Pro 2019 and so how?

Hi @myaloq, I'll share information about matching transactions.

 

As of the moment, there isn't an integrated way to automatically match a deposit to an existing invoice using banking rules in QuickBooks Desktop. You're on the right track, it's best to manually add the deposit and match it accordingly to the invoice in question.

 

While the option is not yet available, I suggest letting our product developers know about your request by sending feedback. I'll show you how.

 

  1. Go to Help.
  2. Select Send Feedback Online.
  3. Click Product Suggestion.
  4. Under Product Area, choose Banking Accounting.
  5. Enter a few words describing how you wanted to have the option to use bank rules in matching transactions automatically.
  6. Select Send Feedback.
  7. Click Close Window.

I'm here to make sure you'll be able to apply a deposit to an invoice in QuickBooks Desktop. 

 

To start, you'll need to set the Deposit To drop-down menu to your bank account when recording the sales receipt. 

 

Next, let's create a bank deposit to the correct bank account by following these steps:

 

  1. Click Banking menu then select Make Deposits.
  2. From the Deposit To drop-down, choose your bank account.
  3. Add any other information such as memo or transaction details. 
  4. Enter the amount and hit Save & Close.

Now, match the record to the transaction you downloaded from your online bank register's list:

  1. Go to the Banking menu again, then hover on Bank Feeds.
  2. Select Bank Feeds Center.
  3. Select your bank account.

Thank you for your responser. Yes, I do know how to do that by entering the deposit manually and then it will match with the bank feed. BUT, I was thinking that the main purpose of bank feed is to cut on data entry. It does work with payments nicely. I create rules to match the description in the bank feed to a name in the desktop app and it by that it assigns the expense account automatically. Nice. BUT, for deposits as you proposed, I still enter the deposit manually, and then it will match it with the bank feed. It would be nice to have a way to identify the deposit in the bank feed (which i did by entering account = accounts receivables and Job.Customer) and then it would let me select the invoice and I am done. OR after it is approved, and added to bank register, to be able to assign it to an existing invoice.

Thanks, I will send feedback. 

The feature can even be more "generic". Meaning, after you use the bank feed and add the deposit to the QB bank account, then edit the deposit and there, allow to select an invoice to assign it. This will help both for working with the bank feed as well as manual entering deposit to the bank first and then assigning it to a past due invoice.
