Automatic Invoice Line Items

I need to know when adding specific line item to an invoice, if it's possible to make it so that a secondary line item is added automatically, but only for certain products/services?

I'll take care of your query about automatic line item creation in QuickBooks Online (QBO), @aapowers.

 

The closest thing I can think of that agrees with your statement is a bundle. Bundles in QBO are a combination of products and services that you sell as a whole. Moreover, you have the option to show the components of a bundle as line items on sales transactions, such as an invoice. 

 

Here's how to create a bundle:

 

  1. Highlight the Sales tab, then select Product and Services.
  2. Press New.
  3. Tap Bundle.
  4. Enter the name of the bundle on the Name field.
  5. Tick the Display bundle components when printing or sending transactions box.
  6. Add the product(s) and service(s) you need in this bundle. 
  7. When done, hit Save and close.

I've got your back! I'm here to help you how to create bundles in QuickBooks Desktop (QBDT). It's easy and can be done with ease.

 

Bundles are called "Groups" in QBDT. We use this type of item to put multiple items together. You also have the option to show the components as line items on transactions.

 

Here's how:

 

  1. Go to the Lists menu and then Item List.
  2. At the bottom, click Item  and select New.
  3. From the Type dropdown, choose Group.
  4. Enter a name.
  5. Mark the Print items in group checkbox.
  6. Fill out the item fields.
  7. Hit OK.

Why does bundles not show up on invoices but they do show up on statements?  I am having to edit each statement to make sure the bundle does not show up each time I sent out a statement.

Let's make sure to untick the option to display bundle components when printing and emailing your invoices in QuickBooks Online (QBO). This way, you won't be able to see the list of items in a bundle in your statements. 


To disable this option, here's how: 

 

  1. Go to Sales, then Products and Services.
  2. Find the Bundle name and click the edit dropdown.
  3. Untick the box for "Display bundle components when printing or sending transactions."
  4. Click Save and close.

Automatic Invoice Line Items

I think you misunderstood.  I do not want them to show up on either invoices or statements.  I have unchecked the "Display bundle components when printing or sending transactions" box and they do not show on invoices, but they do still show up on statements.

When you untick the "Display bundle components when printing or sending transactions," you'll no longer be able to see the list of bundle items in your statements and when printing your invoices.

 

In the case that you still see the list of items after unticking the option, I recommend using a private browser. You can use these keyboard shortcuts: 

 

  • Ctrl + Shift + N for Google Chrome
  • Ctrl + Shift + P for Firefox
  • Control + Option +P if you're using Safari.
  • Ctrl + Shift + P for Microsoft Edge.
     

If the issue persists, let's try deleting the browser cache and Intuit-specific cookies. This allows you to refresh the website preferences, which may be causing problems when using QuickBooks.
