Change invoice number

A customer wants to pay past due invoices, but needs the invoice numbers to be changed because the previous accountant had been applying their payments incorrectly and they show those invoices were paid. I can’t change the numbers because the books have been closed. Anyone have a way I can do this? I’m using QuickBooks desktop.

You'll have to reopen your book so you can edit your invoice. You have to clear the current closing date to do it. Let me walk you through the steps.


  1. Go to Edit, then Preferences.
  2. Select Accounting, then Company Preferences.
  3. In the Closing Date section, click the Set Date/Password button.
  4. Delete the date shown in the Closing Date field.
  5. Hit OK.
