Financial Exchange Created Double Payment

I have POS v18 and did the financial exchange to my Desktop Premier 2020. All was well. The next financial exchange two checks came through again into Undeposited Funds. I have checked POS several times to see if any of the salespeople reversed or returned either of the transactions or did anything with the transactions but all looks good. Inventory for the sale of the items does not show they were sold twice.

 

I ran reports for total sales for both the POS and QB's and they match. Not sure how to remove the amounts in Undeposited Funds correctly

I'm here to help you sort those amounts from the Undeposited Funds account correctly. 

 

QuickBooks POS uses the Undeposited Funds account to store the money from sales. This is normal and there aren't any duplicated payments as what you've checked from reports. 

 

To move the amounts from the Undeposited Funds account to your bank account in QuickBooks, you'll want to create a deposit. Here's how to do it: 

 

  1. Go to the Banking menu, then select Make Deposits
  2. Check the payments (from QuickBooks POS), then proceed with OK
  3. Select your bank account under Deposit To, then enter other important information such as description, memo and the like.
  4. Once done, click Save & Close

Hello jamespaul,

 

Thank you but that does not solve the issue. I have been working with POS, QB's for 16 years and I understand how the Undeposited Funds works. The issue I am having is the payments that were made in POS have come through to the Undeposited Funds twice and as far as I can tell there is no reason on the POS side that that should have happened. So if I posted them into the bank account from Undeposited Funds that would be incorrect as those two sales have already been through the Undeposited Funds and posted to our bank account. And I cannot figure first how or why it happened and how to correct it.

Thanks for getting back to us, PLS3. I'm joining this thread so I can share additional details on how handle correct it.

 

You can delete those sales that are duplicates. Here's how:
 

  1. Go to the File menu and select Switch to Single-user mode. If you see Switch to Multi-user mode, don't select it.
  2. Go to the Accountant menu and select Batch Delete/Void Transactions.
  3. Select the transactions you want to delete or void from the Available Transactions list.
  4. Select Review & Delete (or Review & Void).
  5. Select Back Up & Delete or Back-Up & Void. You can also skip the backup and select Delete only or Void only from the drop-downs.
