How can I change the Income Account for PayPal sales transactions to be the Chart of Accounts? Clicking on the PayPal App Actions/Settings did not take me to Settings.

Hi again,

 

I wanted to post the answer here for others who may be experiencing the same problem. I talked with Denise via Quickbooks phone support and she was so helpful. Here's what we did to fix the problem.

 

1) Click on Invoicing on the left menu, then Products and Services, then click on the New green button and select to add a new Service.

2) On the New Service screen, give it a Service Name and select the Income Account from the dropdown list (this should be your chart of accounts so you can select the Income Account you want for all PayPal Sales transactions). Save your new Service.

3) Now click on Banking, and find your PayPal Bank, then click the Edit pencil icon and click Edit Settings. Edit Sales to be your new Service from the dropdown list, and save.

4) Go back to Banking and select your PayPal Bank and refresh the page, and you will see that all PayPal sales transactions are now listed with the Income Account as the new Service you created above (which is one of your income accounts in your chart of accounts).

5) If you want to change the PayPal Sales Income Account for specific transactions, you would need to repeat this process by adding a new Service then editing the settings on the PayPal Bank app again to be the new Income Account. You can switch the Income Account on the PayPal Bank for different transactions before adding to Quickbooks.

You've got two options to fix this issue, @sally25.

 

First, if you've connected your sales transactions' income account through  apps.intuit.com, you'll need to contact PayPal to access the Settings option.

 

Second, if you're connected with PayPal's online banking, you'll need to manually edit the sales transactions you've created in QuickBooks Online. Here's how:

 

  1. Go to the Sales menu.
  2. Select a specific sales transaction.
  3. Choose Edit under the Action drop-down ▼.
  4. Click Save and Close.

Hi @ReyJohn_D - thanks so much for the quick response.

 

I was able to access the PayPal app Settings a different way, but it doesn't let me edit the Category field to be my list of income types from my chart of accounts, either in the app settings, or for each transaction.

 

Here are screenshots. On the transaction, you can see the category is not there. It just says Income Account "PayPal Sales" and that cannot be edited. On the Settings page, you can see that PayPal Sales can not be changed to my chart of account income types, only to Sales, PayPal Sales, PayPal Shipping or PayPal Line Discount.

 

Any ideas how I can set the Category as a type of Income from my Chart of Accounts when I reconcile my sales PayPal transactions?

Here is the other screenshot. There is no Category that can be changed for this transaction. It just says Income account: PayPal Sales, and it is not editable.

Allow me to share some information. Once you connect your PayPal to QuickBooks, the default account will be PayPal. To change that, you’ll need to go to your App Settings and select the type of income account you want. I'll guide you how.

 

  1. Login to Intuit App Center.
  2. Select the My Apps tab.
  3. Find the Sync PayPal app card
  4.  Select Settings.

Hi @CharleneMae_F - thanks, I'm sorry if I'm not making sense...but the first attachment in the first comment shows you the PayPal App Settings. There is no option to change the Income Account.

 

I took steps 1, 2, 3 and 4 in your message below and this is the Settings screen I see. The chart of accounts is only available for expenses. It does not appear to be available or sales.

 

What am I missing?

I appreciate you following the steps my colleagues had provided. But still, you're unable to have the option to change the Income Account.

 

I recommend reaching out for phone support that will help you figure out why you're still unable to change the Income Account and, expense is the only one available in your chart of accounts.

 

Here's how:

  1. Go to the Help menu.
  2. Click on Contact Us.
  3. In the dialogue box, type in your concern then click Let's talk.
  4. Select Get a callback.
  5.  Enter the schedule that you want for a callback.

Hi there, I tried calling and messaging through that method multiple times over the last 2 days. It always says I will get a callback in 5 minutes, but then I never get a call. Same for the message/chat. No-one ever comes on the chat. I've been trying for the last 2 days and got no calls and no chat messages, and I've been online the whole time, and tried multiple times. This is why I decided to post a question here. I hope someone can help me soon so I can complete the reconciliation and reporting of my financials.
