How can my customers auto pay their invoices in QB Online?

When my customers pay their recurring invoice, how do THEY make their payment recurring so they don't have to re-enter CC every month or give us the CC over phone or email?  Basically how can my customers pay their subscription (recurring invoices) in the same way that I pay Quickbooks for my subscription? (I don't have to re-enter my CC every month or give my CC details to a person for them to set it up, quickbooks just bills it)

It's a good idea but they don't have that.

I believe once they have paid one invoice by entering their c/card details, then you can create recurring Sales Receipts, as the details are kept on file. You can email them the authorization for them to sign and return, and write "on file" for the c/card details.  Not the same, but that's all you can do if you don't want them to give the c/card details by email

Re: How can my customers auto pay their invoices in QB Online?

Hello there, @gtg529s.

I'm here to help you today so you can allow your customers to auto pay their invoices.

If you've created a recurring invoice, and wish your customer to auto pay the invoice/make their payment recurring, you may need to turn on the Automatically apply credits feature.

Here's how:

  1. Go to the Gear icon.
  2. Select Account and Settings under Your Company.
  3. Click Advanced at the left pane.
  4. Turn on Automatically apply credits under Automation.
  5. Click Save and click Done.

If you have any other questions, don't hesitate to add a comment below, we're always here to help. Have a wonderful day!

Re: How can my customers auto pay their invoices in QB Online?

Thanks for your reply!  "Automatically apply credits" has been turned on.  When our customers go to pay their invoice there is no option to "make this recurring" or "automatically" charge my card for remaining subscription.

What is the next step for our customers to be able to auto-bill?

Hi there, gtg529s.

You can follow the steps below to setup a recurring invoice for your customer:

  1. Select Gear icon at the top.
  2. Click Recurring Transactions and choose New.
  3. For Transaction Type, select Invoice and then click OK.
  4. For Type, select Scheduled.
  5. Select Automatically send emails.
  6. Complete the rest of the form and then click Save template.

Repeat the steps above for each customer you’d like to create a recurring invoice for. For additional information about this process, please check this article: https://quickbooks.intuit.com/community/Income-and-expenses/How-to-set-up-a-recurring-invoice-for-cu...

You have to use a Sales Receipt not an Invoice, if you want it to be automatic, which is what the question clearly says

Re: How can my customers auto pay their invoices in QB Online?

Perhaps i'm not being clear.  Here is what we have:

  1. We setup recurring invoices to email our customers monthly for their subscription. (works great)
  2. The customer clicks the "Review and Pay" in the email (works great)
  3. The customer is taken to the invoice online and clicks "Pay Now". (works great)
  4. Our customer enters their CC info and pays the invoice. (works great)
  5. Since this is a subscription and invoices out every month; how can our customer choose to save their CC info and check a box to "auto pay every month"?  The same way that Quickbooks bills me every single month for my QBO subscription without me having to click into every invoice each month and pay it.

Now if this feature does not exist, that's fine, just tell me it does not exist.  Thanks

Re: How can my customers auto pay their invoices in QB Online?

Thank you for clarifying your concern, @gtg529s.

@Malcolm Ziman is correct! You can now process recurring payments from your customers depending on the schedule you set using a Sales Receipt. Let me walk you through in doing so!

First, let's set up your recurring payments, here's how:

  1. Go to the Gear Icon.
  2. Choose Recurring Transactions.
  3. Click New.
  4. Select Sales Receipt from the Transactions Type drop-down.
  5. Hit Ok.
  6. Type in the name of the Recurring Transactions.
  7. Choose Scheduled from the Type drop-down.
  8. Select the name of the customer drop-down and verify the email of the customer.
  9. From the Payment Method drop-down, choose Credit Card Type.
    1. Enter your customer's credit card details.
    2. Click Ok.
  10. Click Save Template.

Make sure to secure the written authorization from your customer before setting up their recurring transactions.

That should do it! This should get you going in processing recurring credit card payments from your customers.

Re: How can my customers auto pay their invoices in QB Online?

Right, I understand that I can call my customer and have them tell me their CC info over the phone and setup a recurring "Sales Receipt".  Then I can reach out to them anytime there's an update to the card or the card has expired.

However this method seems like an insecure and antiquated way of "Auto Billing".  For example, when I setup my QBO subscription I didn't have to speak to a sales rep and tell them my CC info over the phone.  I just entered my CC info and it bills monthly.  Meaning I didn't have to tell a person my sensitive CC details, I just used a secure encrypted web form (the same way my customers pay their invoices without having to call me).

My question is:

Is there a way for MY CUSTOMERS to just check a box when they're paying their recurring invoice to "AUTO BILL" on that card from now on?  Similar to how every other booking software on the planet does it?

Thank you.

Re: How can my customers auto pay their invoices in QB Online?

Hi there, gtg529s,

Thanks for getting back to us and providing additional details about your customer billing preference.

If you'd like your customers to pay their invoices online, you'll need to have a Payments account linked to QuickBooks. Once you’ve turned on QuickBooks payments, you can now email invoices with a Pay Now button which allows customer to enter their credit card information on their own.

Apply for a QuickBooks Payments account:

  1. Go to this link: https://quickbooks.intuit.com/payments/.
  2. Under Start accepting payments with QuickBooks today, choose the plan which suits you well, and click Apply Now.
  3. Complete the online form to submit your payments account application to us.

Once approved, you can then connect you Payments account to QuickBooks Online. You may want to check out this article for the complete steps: Connect your Payments account to QuickBooks Online

That should do it, gtg529s. You can not set up create recurring credit card payments for your customers.

If you want to know more about how QuickBooks Payments work, you can reach out to our Payments Support Team. There they can discuss how Payments integrates with QBO and provide you in-depth information on how to deal with customer payments. You can check this link for our updated phone number: https://community.intuit.com/browse/payments-contact-us

Please feel free to get back to me if you have any more QuickBooks concerns. I'll be glad to get back and work with you. Have a good one!

Way to hang in there, @gtg529s.  I thought it was pretty entertaining to read through the responses to this question as people kept providing great information that did not address the actual question.

@gtg529s -

Is there a way for customers who receive a recurring invoice to automatically pay the recurring invoice through a bank transfer and NOT pay using a credit card?

Re: How can my customers auto pay their invoices in QB Online?

Thanks for joining us here in the Community, @jvvci05.

Allow me to provide some information about paying recurring invoices through bank transfer in QuickBooks Online.

At this time, being able to process recurring ACH payments through Merchant Services isn't available. Paying recurring invoices via credit card payment is the option that we currently offer.

I'd like to let you know that, our developers are constantly working to improve our product to help you manage your business easier. I'm taking note of this preference, and raise this concern to our engineers so this will be taken care of. I'd encourage you to visit our QuickBooks Online Blog regularly to be updated about our latest news, features, and updates about what our Product Care Team is working on.

In case you need assistance about your QuickBooks Payments account, you can always reach out to our Merchant Services Team.

Be sure to let me know if you have any other concerns with ACH Payments. I'll be around to help you out. Wishing you and your business continued success.

Re: How can my customers auto pay their invoices in QB Online?

The autopay option is very important to us as well.  We recently switch from another billing app to Quickbooks, and our customers are complaining about not being able to use autopay anymore.  Please consider adding this capability very soon!

Hi there, @KSCVI,

I understand how important the invoice recurring payment is to your customer. Rest assured I'll pass along your request to our Product Team for them to see if they can add this feature.

In the meantime, I recommend checking our QuickBooks Blog page as mentioned by one of my colleague to keep you updated.

Should you need anything else, please let me know. I'll get back to you with the information you need.

Re: How can my customers auto pay their invoices in QB Online?

gtg529s Yeah, great job hanging in there. There are so many things wrong here.

  1. You explained your need very clearly. Very specifically. Yet support keeps answering with incorrect answers. It's so bad that it seems they've been trained to avoid saying "no we don't have that feature". Or they simply don't read or comprehend the question.
  2. The fact that the "Leading" online accounting tool doesn't support this feature is a joke. As gtg529s pointed out, they themselves allow their customers to enter cc info themselves online and QB charges their card every month.
  3. Knowledge base articles on the topic are convoluted, very hard to follow and no where does it say Yes or No.

I've spent hours trying to figure this out - finally found this thread which I guess - FINALLY - and conclusively tells me the feature doesn't exist - which again, just shocks me.

For another business I use another accounting tool. It is literally one step for my clients to setup online auto-payments.

Re: How can my customers auto pay their invoices in QB Online?

Hilarious thread. Quickbooks lack of features re: A/R management is incredible. No auto-pay, no auto-reminders, no automatic late fees added, etc. If you want any of that stuff you need to subscribe to a 3rd party app, most of which are no good. I'd happily pay an extra couple hundred bucks a month to QBO to just manage everything through it!

Re: How can my customers auto pay their invoices in QB Online?

This is a common issue on these boards.  Responses that do not even come close to providing a yes or no answer.   It's like if I asked you for ketchup and your response is there's mustard in the fridge.

At first I laugh, then I remember we're paying for a service to help us earn a living.

Re: How can my customers auto pay their invoices in QB Online?

We changed to a new billing software. As much as I wanted to make QuickBooks works for convenience, our customers kept complaining so we had to change to a company that could use autopay.

Hi all.

I can see how this feature would be useful. As a team with a massive roadmap, we have to pick new features based on the value they’ll add to the most users possible.

QuickBooks Online is a secure platform for your data. I'll be personally taking note of this feature preference and relay this suggestion to our product developer.

I'll speak with them later this week and make sure to add your feedback about the option to pay invoices without having to enter the customer's credit card information again.

Also, I'll pass along all the feedback you have to the appropriate channels so you're able to reach a point of resolution as quickly as possible.

For now, I'd encourage you to visit our QuickBooks Blog, so you'll be updated with our latest news and updates. Just go to https://quickbooks.intuit.com/blog/.

Re: How can my customers auto pay their invoices in QB Online?

Yeah, your right Quickbooks. Having customers auto billed by entering their credit cards themselves is not very important. Freshbooks, XERO, Stripe, ChargeBee, Recurly, and 100 other online accounting/invoicing solutions are wrong. We understand, you've got more important things to do than catch up with the subscription economy.

hey, that makes me wonder. How are you Quickbooks, billing me?
You let me subscribe, enter my cc and bill me every month.
What vendor are you using - maybe I could get the feature from them?
