How to print Memo in Sales Order

Hi I'm using QB Premier 2019 to create a sales order for customer. Customer has this string of text as special instruction for the order.

 

First I tried type it into the "Customer Message" field. But it complains whatever I entered is "not in the Customer Message list". And that list has all those generic pre-built message like "All work is complete!" or "Thank you for your business" or "It's been a pleasure working with you". But my message is specific, for this customer ONLY.

 

So I tried again, to enter it into the field named "Memo", right below "Customer Message". 

 

The problem is, it won't get printed. I looked everywhere inside the Sales Order Template, couldn't find it. (refer to screenshot)

 

Any advice is appreciated!

What you have discovered is a long known shortcoming, that the memo field is for your eyes only. Two ways to approach this.

 

1. Click on the customer message box in the sales order and select <Add New> and compose what you want on this sales order only

 

2. IN the customize data layout (your screenshot) jump to Footer section and at the bottom of that list is Long Text (disclaimer) what you type there will appear on all sales orders if you select print button

In that case I guess "Customer Message" is better than "Plain Text" which is essentially just a text-box. 

 

I know people were asking this question 6 years ago - thought this must have been fixed by now... :smileytongue:   Wish Intuit could look into this some day...

There is nothing Broken: "thought this must have been fixed by now"

 

It's a simple misunderstanding of these functions.

 

When you see a dropdown with that little arrow, as Customer Message, you are putting these on the List, forever. That's what the pop up also warns you. This is not how to use One Time communication to that one customer. This is Always on this List. QB uses Lists for keeping these things. That is not Memo. This works for things like, "Please remember to use our new mailing address" or "We will be closed over the holiday weekend" or "thank you for your business."

 

And Text Boxes are not used for this, either, since that is for text on the Form, not on your Screen.

 

See the Paperclip at the top? This is where you attach Documents, Specifications sheets, forms, drawing images, contract terms, etc. And in any one line item, you can add to the Description up to 4,095 characters here. it doesn't have to be:

Item = Fan, Description = Replacement Fan. It can include: We checked the fan and it is bound up; noticed bearings are loose and fan blades are chipped.

Attachment could be a good way of doing it. Only thing is, sometime it's just a sentence or two. Using attachment feels like an overkill.

 

If the message is line-level specific, I'll definitely use the "Description" for details. But what if it's "Order-Level", not specific to any "Line-Level"? I still think this deserves more attention from INTUIT.

Each function exists to meet that specific need:

 

In Line on the Item row = relates to the Item.

 

The Memo at the bottom is your Transaction memo and shows in your reporting and can be seen on Statements, if that is Invoice, Credit Memo and Receive Payments; and can be shown in Customer Center Transaction Listing. Attachments are for "not part of QB data, but want to see it relates" such as Terms and Conditions, Contract Terms, Specifications, Drawings, Artwork, Blueprint references, Product Literature, MSDS sheets. QB is your Financial tool. It is not a Word Processing program, not a Spreadsheet program, not an Email Client program.

Hi Is there a way to print a drawing attached to a stock item when a sales order is printed? When I go to the sales order customisation there is no checkbox to include the Item attachment in the Sales order print. Please advise if this is possible?

Hello there, Springmaster.

 

You can attach a file (image or document) to any transactions. Your customers can view these attachments if these transactions are sent via email.

 

When printing Sales Order or any other sales forms, there's no option to include images of the items. However, you can take a screenshot of the Sales Order and paste it on MSWord. Then, add the items' images and print the sales form from there. Printing the attachment and sales order separately can be another workaround. Sales Order 1.PNG

I'll print them separately, then use Adobe Acrobat or some program like that to combine two PDFs into one, if that matters you.
