How to record an undeposited check from a customer refund

Good morning! I've searched online and can't seem to find the answer on this one.

 

A customer returned a product for a partial refund. We sent him a check for the amount of the refund, but he never deposited the check. After 90 days, our bank automatically voided the check and redeposited the funds back into our bank account.

 

I have:

1) A refund receipt for $1,000 for this customer

2) A check payment for $1,000 for this customer, banking matched to the refund receipt

3) Now in my banking feed, I have a bill return of $1,000 back into my checking account, and I'm not sure what to match it to to show a $1,000 credit for my customer so I can then send them a new check to be deposited.

How to record an undeposited check from a customer refund

Let's get your refund to your customer straightened out, @jenuneekor.

 

Since the check payment has been matched to the refund receipt, you can void it. You can also void the deposit in the banking feed. No worries, I'm here to walk you through every step of the way.

 

First, let's void the refund receipt. I've provided the steps below on how to do this with ease:

 

  1. Go to Sales on the left-hand menu, then navigate to the Customers section.
  2. Click on the customer's name to view their profile and transaction list.
  3. Press on the Refund transaction, then hit More at the bottom of the transaction and select Void.
  4. Choose Yes, void transaction.

 

Now that you have the transaction voided, you can create a new refund receipt:

 

  1. Go to the +New button on the left-hand menu, then select Refund Receipt.
  2. Fill out all of the necessary information.
  3. Hit Save and send.

 

Once you've recorded the refund, you can then link the refund to the customer's credit. Check out Record a customer refund in QuickBooks Online for more details. 

 

Finally, let's take care of the voided check that you received in the banking feed. Here's how:

 

  1. Go to the Banking tab on the left-hand menu, then navigate to the Banking section.
  2. Under the For Review tab, click on the transaction to view more details.
  3. Press on Exclude to move the transaction to the Excluded tab.
  4. Under the Excluded tab, mark the checkbox and select Delete.

 

After performing these steps, this will remove the transaction from your books. However, if you're still seeing the transaction in your register, check out the details outlined in: Void the transaction.

Hi Ashley! Thank you so much for taking the time to share these steps.

 

I'm in my banking transactions, and I've selected the transaction but I don't see an option to "exclude." I see the tab "excluded," but no option to exclude this transaction. Could you provide any advice on this?

Ashley, I found it! Thank you so much. I did exclude and delete both the transaction out and the transaction back in. It was under a drop down for "batch actions." Thank you so much!
