If a merchant deposit for a cc payment does not post to the bank account but he funds were received by the bank how do I adjust the the bank balance?

Funds were received by the bank, the customer account was credited and processing fees were posted correctly. The payment did not post to the bank account which resulted in reconciling item. How do I adjust bank balance without affecting other accounts?

You can check the Undeposited Funds account in QuickBooks Online (QBO) to see if the merchant deposit for the credit card payment is there, @grcacctg. I'll provide more details below to resolve your concerns.

 

When processing payments in QBO, the system maintains records of the payments via the Undeposited Funds account until you're ready to deposit them into your real-life bank accounts. In this situation, you'll record a bank deposit and choose where you want the funds deposited. Doing so ensures that the transaction is reflected in your desired account, allowing for easier reconciliation. Here are the steps:

 

  1. Click the + New.
  2. Select Bank Deposit.
  3. From the Account ▼ dropdown, choose the account you want to put the money into.
  4. Select the checkbox for each transaction you want to combine.

  5. Make sure the total of the selected transactions matches your deposit slip. Use your deposit slip as a reference.
  6. Once done, click the Save and close or Save and new.
