Join nowI have been trying to add invoices for vendors for us to pay and I am creating the invoices correctly (I thought) and setting it all up for us and when the bank transaction shows up and I try to match the transaction to the invoice the category that is used for that matched transaction is not coming up correctly.
For example: we are paying a phone bill and when I match the bank transaction it comes up as a CPA category. I am not sure if I am not seeing how to change the category but I've tried and cannot find the setting for it. In the invoice I'm setting the correct category but when it's matched to the bank transaction it doesn't match.
Thank you
Hi there, Peters. I'm here to help you with matching your manually added bill to the downloaded banking transaction.
QuickBooks is dependent on whatever information is added from your bank. If your entry has an incorrect category, you can always modify or recategorize it through the For Review section.
Here's how:
If the system matches your downloaded and manually added transaction, tap on the Confirm tab to match the entries. You can also check out this link for additional resources: Categorize and match online bank transactions in QuickBooks Online.
If you need to change or move a transaction to a different account, follow these steps to undo or unmatch it. You can also reconcile your account to keep your books intact and balance.
If you have any other questions about matching your manually added vendor transactions and automatically downloaded banking entries, let me know by adding a comment below. I'm more than happy to help. Keep safe!
Hello Angelyn_T,
Thank you for the help and I have been categorizing bank transactions well and it works well but I think the issue is when I try to match a bank transaction to an expense invoice that I have created.
When I want to pay the bill/invoice for the invoice and try to match that bill paid to the bank transaction when it matches in the Need Review screen I match it to the bill. When I check that in the Categorized screen the Added Or Matched part of the table shows that it is in the wrong category (mine shows CPA costs for example).
Hopefully that helps a little.
Ryan
Thanks for getting back to us, @rpeters1428. Allow me to chime in and share additional details.
You can review the category assign to your Bill and make sure that you match the correct transactions. You can also Undo the accepted transactions to update the correct category.
However, if it's correct, I'd recommend logging in to your bank's website and check if they have ongoing website maintenance. From there, you can verify why transaction shows the wrong category.
To give you more details on how QuickBooks handles banking transactions, please see this article: Add And Match Downloaded Banking Transactions.
Also, I'd recommend looking into your bank statement when reconciling your accounts as your guide. For more information on how to manage bank downloaded transactions, you can check out these articles:
Stays in touch if you have any other concerns or additional questions about matching transactions. I'll be here to lend a helping hand.
