Item Showing On P.O. but unable to find open PO with Item Listed

When I go to Lists > Item List and select an item, the information shown under the Inventory section shows twelve of the item On P.O.  If I then go to Reports > Purchasing > Open Purchase Orders and review all of the open purchase orders listed, none of them have that specific item.  How do I locate the PO that contains the twelve items?

I appreciate you for sharing the steps you've taken while managing your purchase orders. And, thank you for the screenshot.

 

The amount under the On PO section doesn't only mean this is the number of open PO's you have. There are other transactions associated with the item.

What you need to do is run the Inventory Stock Status by Item report. This way, you'll be able to locate the PO that contains the item.

 

Here's how:

  1. On the Item List window, click Reports.
  2. Select Report on all Items.
  3. Choose Inventory, then Inventory Stock Status by Item.

  4. Click the amount that has the same record from the Item List window.

  5. From there, you'll see other transactions associated with the item aside from purchase orders.

QuickBooks Desktop offers a wide variety of ready-made supplier reports that tells you where your company stands. It displays reports using the Sources and Targets concept.  To learn more about this concept, see this article: Understand reports for more details
