Old Paid Invoices

So, out of nowhere, a bunch of PAID invoices from 2017 are showing up UNPAID. I ran a customer balance detail report last week and it was fine. Yesterday I ran one and poof I see invoices from 2017 (a few from 2016 as well). Any idea how this happened?? If I go in and just mark them paid will that mess anything up?

I want to ensure this is taken care of, @sgreathouse.

 

We can check your customer's profile to make sure both invoices and payments are under their profile.

 

Here's how:

  1. Go to the Sales menu.
  2. Click the Customers tab.
  3. Find the customer associated with one of the invoices showing unpaid, then click their name to open the profile.
  4. In the Transaction List, look for payments that have a status of Unapplied.

If you're able to find a payment that isn't associated with an invoice and should be, here's how you can link it:

  1. Click on the payment to open it.
  2. Under the Outstanding Transactions section, tick the checkbox next to the invoices the payment applies to.
  3. Click Save and close.

The status of these invoices are OVERDUE. They were marked paid back in 2017 or whenever (I don't know considering that was 3+ years ago), but I doubt they were matched to a bank transaction.

 

Can someone that actually KNOWS QBO help?? No offense, but most of the QB employees are zero help.

I've got more insights about the overdue invoices you're having, @sgreathouse.

 

The steps suggested by my peer above is one way to check why you're getting those overdue invoices. I have another method to verify why this is happening.

 

You can use the Audit Log to check if someone made some changes and review other details. Let me guide you how:

 

  1. Click the Gear icon, and then choose Audit Log under the Tools section.
  2. Go to the Filter drop-down, and then choose All Users under the User drop-down.
  3. Select the correct date filter (preferably All Dates). 
  4. Hover down to the Events section, and then check the Transactions box.
  5. Choose All Transactions under the Show drop-down.
  6. Click Apply
