Quick Books Cash Sales in POS

I am new to the QuickBooks world and am having issues with the POS system. When I have a customer pay with cash its not reporting the cash sale to my desktop system. Card transactions transfer fine just not cash. I have the desktop 2018 system. Am I just not seeing it? Is it reporting the sale somewhere else? Help?

Welcome to the Community, DazedandConfused.

I've got some insights to help reflect the cash sale in QuickBooks Desktop (QBDT).

If you're sending transactions from Point of Sale (POS) to QBDT or it's happening after the financial exchange, missing transactions may be caused by one of the following reasons:

  • A backup was restored in QuickBooks after the financial exchange
  • QuickBooks transactions were manually deleted.
  • A different QuickBooks company file was opened.

Let's try some basic troubleshooting options to resolve this. If there are too many transactions missing, please follow these steps:

  1. In POS, select Financial and choose Financial Center.
  2. Select Show Advanced Options.
  3. Click on Recover Data Now.
  4. Select Continue.
  5. Enter the date range that was covered by the original financial exchange.
  6. Click on Resend this document during the next financial exchange.
  7. Select Financial and click on Update QuickBooks.

If only a few transactions are missing:

  1. Select Point of Sale and choose Sales History.
  2. Choose the sales receipt that need to be resent in QuickBooks Desktop.
  3. Select I want to and choose Show Financial Detail.
  4. Click on Resend this document during the next financial exchange.
  5. Select Financial and click on Update QuickBooks.

For further guidance, you can also check out this article: Financial Exchange Overview.

The cash sale should reflect in QBDT. Please keep me posted on how it goes. I want to make sure this matter gets resolved.

Where are you looking for the cash sale reporting? Maybe you are looking in the wrong spot.

I had the same issue and followed the directions.  I still cannot get the cash transactions to exchange.

Hi Tori,

Thank you for getting back with me.  I was able to run end of day before the store was too busy and the cash transactions have gone through.  I have one other problem with the other company that the 3 days of transactions were exchanged to.  I have deleted all of the transactions, but I still have entries in my COGS account that should not be there.  We do not sell anything out of this company through the POS.  How am I able to get rid of the COGS that came through with the transactions.

Hello @ARasmussen1,

You can create a journal entry to get rid of the unneeded transactions showing in your COGS account. But it is recommended to contact your accountant for guidance to avoid messing up with your financial reports.

In the same manner, here's an article you can use for the steps in creating your journal entry: How to record journal entries in QuickBooks Desktop?

On top of that, I've also included this reference for a compilation of articles you can use while working with us: Help Articles for QuickBooks Point of Sale.

If there's anything else that I can help you with, please let me know in the comments below. I'll be here to lend a hand.
