Customer - Credit Memo

A Credit Memo was created for a Customer (I have NO IDEA How)

Of course, it is dated for Last Year

If I Void it, does anyone know if it will be dated for 2021?

Thanks for coming, @Catz. I can provide some details about the credit memo in QuickBooks Desktop.

 

A credit memo's amount will zero out once you void it and it will not be dated this year. But before doing so, be sure to know where this credit memo is coming from. This is to avoid any changes that could impact your records in the prior year. 

 

If you have available credits, there are three ways to handle this. You can keep it as available credit, give it a refund, or apply it to an invoice. I've also added this link to more details: Give your customer a credit or refund in QuickBooks Desktop for Windows.

How can I figure out where the credit is coming from? 

Also, my other question was - will the void be dated this year?

You can identify customers with credit memos by reviewing your transaction list.
 

Here's how:

  1. In your top menu bar, go to Customers.
  2. Choose Customer Center.
  3. Access the Transactions tab.
  4. Select Credit Memos.


Now you'll have a list of all credits in your books. You can additionally utilize the FILTER BY and DATE drop-down lists to help locate a specific record.


As for your other question, if you void a transaction it will be documented with the date you'd voided it on.

Customer - Credit Memo

Voiding the Credit Memo WAS NOT Documented on the day that I did it - I voided in 2020 and therefore affected the 2020 Numbers

Now I have to figure out how to Fix That

I needed the Void to be "dated" in 2021 - that was my question

Yes, you can use the audit trail report to see what transactions were entered or edited on a specific date. You can filter it for a transaction type such as inventory adjustments.

 

Here's how: 

  1. Click Reports at the top menu bar and choose Account & Taxes.
  2. Select Audit Trail.
  3. On the report screen, click Customize Report.
  4. Go to the Filter tab and search for Transaction type.
  5. Choose Invoice and hit OK.
  6. Filter the dates.
  7. Recreate the transaction with the correct information. 

You can also ask for help from your accountant to fix this.

Customer - Credit Memo

Hi, the question I have relates to non-profit. When I record a credit memo there is a box on the top of the form for using a class. I pick the class but when I check my transaction details for that class this transaction is not associated with all the other credit memos...it is linked to the transaction list trough the item, which is "discount".

Let me share some insights about the credit memo, DeborahC1.


The transaction was linked to a discount because the credit memo is applied to payment as a discount. Removing a vendor credit from the bill will help us remove the discount to the transaction.  

Here's how:
 

  1. Look for the vendor credit.
  2. Choose the Bill radio button to change the transaction type to bill instead of credit, then clickSave & Close.
  3. Bring up the resulting bill and change the transaction back to credit by selecting the Credit radio button, then Save and Close.
  4. When prompted about changing the transaction, Hit Yes.

Customer - Credit Memo

The credit memo is provided to a customer, not a vendor. My customers are classified by "classroom, so forth, the credit memo goes against the receivables for that class. The box on top lets me choose a class but the transaction is not listed in my transaction detail by class...

Let me help you figure out your concerns so you can get back to business.

 

You'll want to double-click on what transaction shows on the report. If it's a payment and added as a discount, here are the steps on how to remove a credit memo that is mistakenly applied.

 

  1. To display the transaction history, press Ctrl + H.
  2. Double-click the invoice and select Apply Credits.
  3. On the Previously Applied Credits window, clear the selection for credit.
  4. On the Apply Credits window, select Done.
  5. On the invoice, select Save and Close.

 

If it still doesn't work, can you please provide a screenshot after double-clicking on the transaction? This way, I can further check on the issue.
