Discount Percentages are not calculating in QBO

This is mostly a FYI, yet Id like to ask a few of you to confirm this finding.
I'm using QBO, last year I migrated from On Prem version. Its been a challenge, and I been using this software on and off since 2002.

Discount percentages are not calculating in either line item, or whole estimate/invoice.

 

This was notice by a client that I sent an estimate off to for over $40,000 Telling him I was giving him a 25% discount. I was mortified to find the software was failing these calculations.

In QB/QBO you can make a discount Line Item that is either blank to fill out as needed, or preset at a certain percentage rate. Say you have an item that sells for $4000 and you want to give a 25% discount.  You can pre-make a Discount line item and enter 25% in the rate column.  You enter that discount in the line just below the item you are giving a discount. in this case it should be QTY 1, Rate 25% (represented as -.25) yet in the Amount column it should read $1000 for this example. The account used is the sales discounts. Instead, it is now just subtracting $0.25 cents.

 You can also enter the actual discount amount in the Rate window and it will subtract that specific amount. This part is working. Now, when I enter a discount of say 25%, it only subtracts $0.25 I have been using this feature for a while, its very helpful to helping win a sale. But now I am questioning the integrity of QBO, what else is miscalculating?

 

I called Intuit/QB support. Twice, just to verify.
They acknowledged there is an error and asked me to, as a work around, to create duplicate items that I manually calculate with a the item at the discounted amount, and use that. I'm not a bookkeeper, but that seems like wrong on many levels. It would totally bake my data with duplicate items, inventory amounts etc. 

What I have to do, is manually calculate the discounts for every line item and enter that in the Rate window below a discounted item.  She did say that the engineers realize this is not working, and they are working on to fix it.  Seriously now, I need to be able to trust this software is going to make proper calculations else the whole bit of software becomes unreliable. 

I attached a screen shot so you can see examples. Perhaps, if you don't mind some of you could try this on your own system and verify these calculations are indeed faulty and its not just me. I would truly appreciate that, or any feedback.

True - QBO does not have a native line item discount the way desktop does.

 

You have to use a work around

1. create the discount item, enter the discount percentage as a negative decimal in the rate block.  ie 25% entered as -.25

2. use the item on the invoice, enter the total amount to be discounted in the qty block of the dicount item, tab or click out and your discount will be calculated.

 

IF several items are to be discounted, use  a subtotal after the listing to find the amount to enter as the qty on the discount item - not sure if this part is still true, but last time I checked only one template for invoices would allow a sub total (it is a button bottom left the detail isting area not an item like in desktop)

Thank you. I am not 100% fond of the work around, but it works as you described, entering the amount in the QTY never passed my mind. I also made a subtotal after the calculation to show the actual realized costs. I have many line items to do this for so this is really helpful.

 

That said, I swear I have used this feature in QBO before, but cannt specifically recall at this time, its all a blurr. It could have been prior to my conversion. Yet to support my suspicion, the Discount Value/ Discount Percentage feature still does not work when a percentage is entered. It just needs to be fixed. There is no excuse.

This is just a crummy thing to see happen. I rested on thsi a bit and relize now how dissapointed in the poor quality of programming Intuit put forward into this version of software. QBDT is a fantastic pieceof software, and since convertign over I have exclaimed WTF is happening? about a million times.   It has some great features, but the basics should be vetted far before they release this software.

Im also not picking on their support. They try, but have to look everything up. Theri workaround came from an internal document written by programmers, and apparantly accountants were not consulted. I have high expectations from softare manufacturers, quality of support is way up there. When I deal with Microsoft, Cisco, etc, their support is world class, and you talk to a qualified engineer that knows their products. 

Oh and your link is not working, I get a 404. I'd be interested in seeing your non partisan document. :)

And ... In that short of time I was able to rifle through my estimate and get all the discounts applied. You just saved my butt. I put this down last night and took a rest to do all the calcs this AM, and you chimed in just as I was sitting down at the computer So you earned whatever wages you charge for the day. You may take the rest of the day off!

I still can't get the work round to work.

 

When I write 5% discount in as -0.05% it gets changed to -0.05   This means that if I offer a 5% discount on, say, a £100 sale. It gets reduced to £99.95 as opposed to the correct £95.

 

It all worked fine in QB Prem. I should add that I have enabled discounts in QBO, there is obviously something I am missing, would appreciate some help. Thanks.

Thanks for joining this thread. I'm here to help and provide some insights about the discount percentage in QuickBooks Online (QBO). 

 

The calculation of the discount percentage will automatically calculate once you turn on the discount feature in QBO Account and Settings option.

 

Now, you'll need to enter only the amount and remove the percentage (%) sign when adding a Discount on the line item of invoices and sales receipts so it will calculate it according to your preferences.

I am sorry but I still can't get it to work.

 

The discount on the whole invoice works fine.  It is having discount as a line entry I am having a problem with.  It worked fine in QB Prem.

 

The problem is it won't recognise a percentage when I enter in the Product and service screen (below).  It reverts to plain text, whereas I would like to offer a 5% discount.

I hope you can help, as its causng a lot of inconvenience.

Hello there, Paul. 

 

When creating a discount item, QBO will change the percentage amount to the nearest hundredths decimal equivalent. Based on your screenshot for example, 5% will change to 0.05 (decimal equivalent for 50%). This is why there's still a £4.5 difference on the total discounted amount in the customer's invoice. You'll also need to enter a negative sign (-) before the discount amount so QBO will deduct the correct portion.

 

To add a 5% discount on the Products and Services page, you can enter -500% so QBO will change it to -5.00. After setting up the correct discount amount, create an invoice to see the accurate calculation.

If you track inventory and want to see profit by Item, then you should enter the same item on the next  line with a Quantity of zero, and the dollar amount of the discount as a negative.

I also have the problem that I cannot add an item "Discount" and add a percentage.

I read thru all of the messages on this topic, but I am afraid it doesn't work for me.

I saw your suggestion of adding -500% to get a 5% discount  (already a bit strange to me). 

So I tried to appy a 10% discount by adding -1000%. 

 

I figured if I can make an "item" with -Discount 1%-  ( adding -100%) then I might be able to add it as a "line" in my invoice and change the quantity per line. If I'd like to add 25% discount on an item I will add QTY 25 - of Discount 1%.

 

Unfortunately this does not work....

I am having a hard time (while working for years with the desktop version) thinking now I changed to the pretty expensive Online version, that something as simple as adding a % discount per line in an invoice, does not come with the package??

 

There must be a way that I am totally missing. It is such a simple action, such a non-complicated action, used A LOT.... It can not be the programms intention for me to have to calculate the amount every single time, and adding it by hand?

 

In "Lists" - "Products and Services" I have an item called "Discount". My box for "Inclusive of tax" is on.

In "Account and Setting" - "Sales" I have the box for "Discount" set to "on".

 

If there is anything you can add, by this time, Feb 6th 2019, that the "crew" added a feature how to be able to add this, maybe you can help me out how I can apply it?

Allow me to chime in and share some more details about the discount feature in QBO.

 

There are 3 options to apply discounts to invoices in QuickBooks Online. Consider the following:

 

Option 1: Discount percent

 

This option allows you to discount a percent of the entire invoice. You'll only need to add the percent rate (without the % sign) so the system automatically deducts the amount. Please see screenshot:

 

 

Option 2: Discount Value

 

This option allows you to enter a flat rate discount for the entire invoice. Please see screenshot:

 

 

Option 3: Add a discount item.

 

You can add this custom item if you'd like to apply the discount together with the products/services you're invoicing. However, given the fact that this is an item, it only accepts a flat amount. Assigning a percentage rate will give you a different result. As an option, you can follow @SophiaAnnL's workaround to get your work done.

 

Being able to assign a percentage rate for each products/services discount item on the invoice is a great idea we can add in QuickBooks. While this option isn't available, I'd recommend submitting a request to our developers. Doing this will let them know what features would help a business like yours run a little better, and they will consider that in a future update.

 

Here's how to send your request:


1. Click the Gear icon.
2. Select Feedback.
3. Enter your feedback and suggestions.
4. Click Next.
5. Select Feedback for the Category.
6. Click Send message.

I am sorry but I have to tell you, This solution offered is simply "self-calculating".  It isn't doing anything except subtracting what the User needs for that item.  QBO is converting 5% to .05 and -500 to -5.00.  If you put any wild number in there, any number, it will automatically add a decimal point to the last 2 numbers. QBO is not actually doing any work - the User is doing it.

 

We need a real solution.  Quick Books Online is very very amateur.  I have sent them "feedback" but nobody sees this as a problem.  I thought by now there might be something new.  Apparently businesses don't need a per-item discount, only a full invoice discount is a function. 

 

Once Quick Books Online has you are up and running, it's time to move on to a different program.  I am really disappointed and frustrated by Quick Books Online vs Desktop.

I was also exasperated by the discount feature being Mickey-Mouse. The desktop version always calculated the item discount. With the online version I must manually calculate each percentage discount as my client waits by my side to produce their sales receipt. This is a nuisance as my clients are often making multiple purchases in which some are not discounted while others are (putting a flat percentage at the bottom does not work). 

 

I am also concerned about the integrity of the software when it can’t perform even the most basic task of calculating a discount. A dummy can calculate the discount manually! Very disappointing!

I'm going to raise your concern to our product engineers and let them know that this is something you need in QuickBooks.

 

This way, the request for this feature will get additional votes. Calculating the discount percentage in QuickBooks might be given a chance to be added in the next product release.
