How to enter Vendor refund to credit card on outstanding credit memo

I manually processed in QB BOTH a credit card payment from a customer AND a matching (same amount) credit card refund to the same customer. Although the net result is zero, both transactions continue to show up (of course) in my Open Invoices - All report as they are not linked in any way. How can I get these two offsetting transactions in my A/R to be fully resolved?

Re: How to enter Vendor refund to credit card on outstanding credit memo

Hello RickP1,

Great job on recording the credit card payment and refund to your customer. Let's link them together by using the Receive Payment feature. I'll be glad to help you accomplish this.

  1. Go to the Customers menu at the top.
  2. Choose Receive Payment from the drop-down.image.png
  3. In the Received From box, select the customer's name.
  4. Under the UNUSED CREDITS section, click the Apply Credits link.
  5. Select the credit.
  6. Click Done.image.png
  7. Then, hit Save & Close.

Re: How to enter Vendor refund to credit card on outstanding credit memo

I sent a Reply last week but I haven't heard back from anyone, and I don't see any new input here. I appreciate Precious' attempt to resolve my reported problem, but her Reply said I should click on a particular link that does NOT appear on my own screen. Help again, please! (phone [removed] if that helps) Thank you! Rick

Thanks for your response, RickP1.

The Apply Credits link shows if you've already created a credit memo or refund to your customer. If you haven't entered yet, please follow the steps below:

  1. Go to the Customers menu, then select Create Credit Memos/Refunds.
  2. Select the appropriate Customer at the top.
  3. Enter the returned items in the line item area, then select Save & Close.
  4. On the Available Credit window, choose one of the following:
    • Retain as an available credit
    • Give a refund
    • Apply to an invoice
  5. Hit OK.

Once done, please follow the steps I provided above on how to offset the transactions

I'd appreciate if you can update me on how it goes. I'll be here if there's anything else you need.
