My challenge is that at the end of that process, when I pull a P&L with detail, all the donations are still showing in Undeposited Funds. Shouldn't they at that point show as deposited to the bank account? Everything that I've found online indicate that what I'm doing is correct, but it is not working as expected. Anyone have advice on where to look? Maybe a setting?
Hello there, Scott. You've followed the correct process for recording donations, everything you've done is accurate, and there's nothing more you need to do. Let me explain it to you.
Undeposited Funds appear on the Profit and Loss Detail Report because it is the first account involved in a transaction. Though it is a Balance Sheet account, QuickBooks tracks the flow of funds, showing where revenue originates.
Rest assured, the income is correctly recorded under the appropriate Income account on the Profit and Loss Report, and the deposit is accurately reflected in the Balance Sheet under the bank account.
To review the movement of funds in more detail, you can run the Balance Sheet Detail report and click the amount for Undeposited Funds, and view the transactions tied to it.
