What permissions do I need to assign to a role so that the user can create a refund check from an overpayment by a customer?  We are using Quickbooks Enterprise Desktop version

Good afternoon LBALL0123,

 

Welcome back to the QuickBooks Community! We are glad that you are here. I will be more than happy to help. You would need to assign the user access to both Banking (specifically the "Write Checks" function) and Customers & Receivables (to access and interact with the Accounts Receivable account and apply credits) in QuickBooks Desktop. However, you need to decide whether to allow the user full or partial access. Here's how to create a custom role below:

 

  1. Go to the Company menu, then select Users.
  2. Select Set Up Users and Roles.
  3. Enter the admin password, then select OK.
  4. Select the Role List tab, then select New.
  5. Give the role a name and description. Note: Name something that indicates its permission level.
  6. In the Area and Activities section, select an area of your accounts. Review each area and select None, Full, or Partial to set the role's permissions.
  7. Once you set permissions for each area, select OK to save.

I know how to change permissions however I need to know what permissions are required to be able to actually create the refund check.

Thanks for following up with the Community, LBALL0123.

 

To help you identify which roles and permissions you may need to use, I'd recommend running your Permissions Access by Roles report. This displays all roles and their permissions. You can run the report from your Company menu.

 

Here's how:
 

  1. In the top menu bar, go to Company, then Users.
  2. Click Set Up Users and Roles.
  3. Enter your admin password.
  4. Hit OK.
  5. Access the Role List tab.
  6. Press View Permissions.
  7. Click to a role you want to review and select Display.

 

You could consider granting purchase and vendor access, with permissions also set to Full Access for Purchases and Accounts Payable. After saving these changes, your user will be able to create and print checks.
