Learn how to prepare and print Form 941, Schedule B, and Form 940.

With QuickBooks Desktop Payroll, you can prepare and print Form 940, Schedule B and Form 941.

Before you prepare your form:

If you have QuickBooks Desktop Payroll Assisted Payroll, your tax forms are prepared and filed for you.

Prepare your forms

Note: You should never edit the filing period, totals, EIN or SSN on a payroll tax form. This will cause data to be incorrect on your form. Please close the form, make your updates then start a new form.

  1. Select Employees, then Payroll Forms & W-2s, then Process Payroll Forms.
  2. Select Quarterly Form 941/Schedule B or Annual Form 940/Sch. A. Note: Only semi-weekly depositors are required to file form Schedule B, when any other deposit frequency is selected a Schedule B will not be e-filed and you will likely receive a tax notice.
  3. Select Create Form
  4. Choose the Year or Quarter from the small arrow ▼ then choose your Quarter Ending date.
  5. Select OK.
  6. Complete the interview for your form. Select Next. Review the information on your form to confirm it is correct. Note: If you need to add or change, data select the field and enter the amount. New data displays in blue and changed data displays in green.
  7. Select Check for Errors to identify and fix any form errors.
  8. Select Save and Close to save your changes and come back later or select Print for Your Records to print your form

Print and save your forms

  1. Select Employees, then Payroll Forms & W-2s, then Process Payroll Forms.
  2. Select Quarterly Form 941/Schedule B or Annual Form 940/Sch. A.
  3. Choose the Year or Quarter from the small arrow ▼ then choose your Quarter Ending date.
  4. Select OK.
  5. Select Open Draft.
  6. Select Print for Your Records.
  7. Select Save as PDF. Note: It is highly recommended that you save at least one copy for your records.
  8. Select Save then Save and Close.
