We would like to use both the Regular hourly rate and Hourly rate 2 in Quickbooks payroll.  How can we make sure the hours exported from Tsheets allocates to the correct hourly rate?

Allocating time from Tsheets to the Regular hourly rate and Hourly 2 in Quickbooks payroll

Hey @susanwellborn50, my name is Sherissa, thank you for reaching out to The Community, I am happy to help you solve this.

If your TSheets Account is already connected to your QuickBooks Account then you will want to use the Payroll Item Mapping Tool.

This basically tells TSheets & Quickbooks which pay rate to associate with which type of hours worked by each user in the account (ex: Regular Time/ Overtime/ Double Time/ Time Off/ etc).

To access the Payroll Item Mapping Tool;

  • Login to your TSheets Account
  • In the top right corner Click on the QuickBooks Logo
  • Select Preferences
  • Locate the Blue Button that says "Payroll Item Mapping Tool" and Click it

Once you are there you have 3 options

1. Map by User

2. Map by Customer/Job, Service Item or Classes

3. Let the Employee Choose

The most common option is Map by User, you can expand the details of each user by Clicking the down arrow to the left of their name. Now you should be able to see the Payroll Options that are assigned in TSheets (above each drop-down box) & just below that a drop-down list of everything that is assigned to them within your QuickBooks Account. You will Select from each drop-down the pay rate that needs to be associated with the time that was tracked by each user.

You will only need to do this once for each user unless their pay rates are changed from hourly to salary (or vice versa) - then anytime you add a new user.

If you would like to check out the other option and learn more about Payroll Item Mapping you can hop on over to this help page about it: https://intuit.me/2W0KneX

I hope I was able to help answer your question today if you have any other questions about Payroll Item Mapping that are specific to your company's needs please let me know
