How to sync PTO balances in Quickbooks Online Payroll to TSheets?

We use TSheets for scheduling, time tracking, and time-off requests. We use Quickbooks Online Payroll for approving time and running payroll. I recently noticed the paid time off accruals in the Vacation and Sick Leave report in Quickbooks is different from the paid time off accruals in TSheets. It is problematic when the balances are positive in TSheets and negative in Quickbooks. For instance, if an employee makes a paid time off request in the TSheets app, and the scheduler approves the request, it could cause us to pay PTO before accrual. In my opinion, Quickbooks would be the more accurate tracker of PTO balances. How do I get Quickbooks Online Payroll to sync PTO accruals with TSheets?

Hello, andrewvsl. 

 

In QuickBooks, we need to set up and configuration your time off codes and preferences. Once done, accrual settings set up in the Time Off Codes window apply to all team members assigned to that Time Off code, except those with personalized accrual settings. If a personalized accrual was set up for team members, It's noted within the Time Off Accrual Settings window at the top and will not be affected by any changes made here.

@AileneA, yesterday, I was on a three-way call with customer service reps for Quickbooks Online Payroll and TSheets. They informed me corrections, edits, and approvals of clock-ins and clock-outs impacting PTO accrual need to happen in TSheets before syncing with QBO. The reason given is QBO does not sync timesheet edits or PTO accruals back to TSheets. Is this true? If so, it is problematic because QBO Payroll has an "Approve Time" module for final timesheet approvals before running payroll. We use the module, and it appears timesheet edits made using the module do not sync back to TSheets, so the PTO accrual balances in both products do not reconcile.

You're correct that time edits made within QBO do not sync back to TSheets. We often refer to the transfer of information between these programs as a one-way circle.  Time is exported from TSheets to QBO, and not vice versa. Edits or deletions made in QBO's Weekly Timesheet or Single Time Activity will not appear in TSheets. Approving time within QBO is not considered editing the time, so this should not present a problem!

@Jessica_young, it does impact the accrual of PTO in the two products. If you correct the time down in QBO before payroll, it will show higher PTO accrual than actual in TSheets. This leads to potential negative PTO events in QBO. The fix is to manually edit PTO accrual in TSheets, which ideally would be taken care of with sync.
