PTO balance in QB Time does not match PTO balance on pay stub

Hello.  Several employees indicate that their PTO balance in QBO Time does not match what is on their previous pay stub.  When I add the QBO Time balance with their requested PTO, I still do not get a match to what their stub indicates they should have.  Employees earn all PTO on January 1.  (frontloaded and not accrued).  Has anyone had any issues with this?

PTO balance in QB Time does not match PTO balance on pay stub

It's great to see you here in the Community, sgluchacki. Thank you for providing a detailed question. We're happy to explain how Paid Time Off (PTO) works in this integration.

It's important to note that QuickBooks Online (QBO) and QuickBooks Time don't exchange balances or accruals. QuickBooks Time only sends hours tracked to QBO, and if there's a balance or accrual set up in QBO, it'll be deducted once exported.

Since QBO doesn't offer the same accrual as QB Time, you can adjust the balance per employee to reflect what's in QB Time manually.

  1. From your QBO account, go to Payroll menu, then Employees.
  2. Choose your employee.
  3. From Pay types, tap Start or Edit.
  4. Scroll down to the Time off policies section. Next to the Paid time off or Unpaid time off, enter the current balance. Or, if you want to change the policy, click Edit ✎ then choose how the hours are accrued, Hours per [time period] worked, and Maximum allowed (optional), then hit Save.
  5. Once done, pick Save.
