We use QBTime integrated with QuickBooks Advanced and QuickBooks Online Payroll Premium. More and more clients are requesting to be an approver (i.e., authorizer/validator) of timesheets for our labor hour contracts. How can I get the ability to add an external user with their email address in QBTime that isn’t an employee, contractor, or user in QBO, and then add them as an authorizer/validator for just the QB Project that our employee is entering hours for? In addition, after our client authorizes, the approval will route to me as the Employee approver (i.e., admin) to approve the timesheet and export to QBO like we do today. At this time, QuickBooks Time only allows you to add team members, groups, crews, and managers to manage the approval workflow. Thus, creating an external user is currently unavailable.
I can see that this option is helpful to you and your business. This way, you can let the external user validate and authorize timesheets. For now, I encourage submitting feedback directly to our product engineers. They may look into this suggestion and consider adding the option in the future update. We already use all the features in QBTime, but our clients are becoming more demanding in their contracts and solicitations regarding being part of the timesheet approval process. They know it exists with QBTime competitors like DataBasics, etc. External user support was there prior to the integration with QBO, and it never came back. Intuit should really bring it back and add an approval workflow module as a new feature. Thanks again!
The need for client time approvals is long overdue. Almost all of our clients request prior time approval before invoicing. Many other platforms offer this including ADP, Xero, etc.
