QB Time Groups & Manager permissions

Two  Questions:

1. I would like to create a group in QB Time and assign a manager that can view time entries for just the team members in that manager's group. Just VIEW time entries, NOT edit or approve. Is this possible?

 

2. I have created the group and assigned a manager. How do I add team members? The Help feature in QB Time says: select a team member, from the group drop down, select a group then Save. Problem is that I don't see a Group drop-down menu

Thank you for reaching out to our QuickBooks Community. To answer your first question, the group manager permissions at this time are not customizable. Here is a list of what they can do:

 

Although the term manage is used, this refers to the ability to edit as well, so they wouldn't be able to just view.

 

Moving on to your second question, you can't find the group dropdown in the same place where you created the group because it is individually in each team member's profile. You can do this by:

  1. Go to My Team.
  2. Click on the employee's name.
  3. Select General Tab.

I am including this screenshot below as a guide.

If I set this team member up as a Custom user and enable "View timesheet reports for all team members", does this enable viewing of all team members' time entries including the Notes field?

 

The end goal is that we want this team member to be able to view notes for other team members' entries, but not to edit or approve entries. 

 

If this team member is able to view notes, do they have to prepare a report in the desktop version to view the notes, or can they access other's entries/notes from their app? Can you send me a screen shot of what it would look like when this team member with "View timesheet reports for all team members enabled" is viewing other's time entries?

You are welcome, and thank you for responding. Yes! They will be able to see the notes, but they won't be able to see them in the Time Entries tab like an admin. They would need to go to the payroll report to view this. Select Reports, then Payroll Report. This is what it would look like.

 

 

To view the notes in the report, it will be on the right-hand side, as seen in the image below.

Can I create permissions somehow so that this team member can only see certain other team members' entires in the Payroll Report? For example, I do not want this team member to view the owner's entries.

Hello shislop,

 

You are most certainly welcome! The only way to view this would be to create a group and make them managers, but again, that would give them the ability to edit time which I know you are trying to avoid. The choices that you are left with are:

  • Have them be able to view all employee's time but not be able to edit
  • Or view only a group of employee's time but be able to edit.
