Quickbooks Time: Can each vendor have separate rates for the same service?

I am setting up Quickbooks Time with 10 vendors.  Each vendor will choose from the same service but have a different rate associated with that service.  Is there a way to assign different vendors different rates for the same service?

Ex:

Vendor 1 - Service: writing - $20/hr

Vendor 2 - Service: writing - $25/hr

My current approach was to either:

1.  Create a service for each vendor with a slightly different name.  This would get bulky and confusing fast

2.  Use a lookup table.  This, however, makes it difficult to send data directly to Quickbooks since I would have to use a intermediate step for the lookup table formula.

I would appreciate your thoughts.

Quickbooks Time: Can each vendor have separate rates for the same service?

Good evening, @hec_user

Thanks for reaching back out and asking another question about multiple service items. Let me share some light on this subject.

As far as in QuickBooks Time, vendors don't have pay items so this will need to be set up in QuickBooks Online (QBO). You can choose to do one of two options listed below:

  • Create separate service items for each vendor in QBO, sync them into QuickBooks Time, and then assign each one to the corresponding vendor.
  • Enter in the rates manually into those invoices once in QBO.

Afterward, everything should look correct in your account.

Either one should do the trick. I'm only one post away if there's anything else you need. I'll stick around to help you sort everything out in QuickBooks. Have a good one.

While your idea of entering rates in Quickbooks Time (or even employee hourly rates) might save you time the fact is that any rates entered in Time DO NOT sync over to Quickbooks.  You still have to enter your service item custom rates in QB first and even then hours entered in Time may or may not sync properly. Otherwise you get the vendor hours in a timesheet  and those hours will prepopulate a check detail but you have to enter the rate there.

Thank you so much, John.

After looking through it again, that makes sense.  I suppose if I take that same question but ask about Quickbooks Online instead of QB Time, is there a good way of doing this?

Meaning could I make one service have different rates per vendor or do I really just have to have multiple services with different rates?

Thank you.
