Let me provide a few information on how sales price and cost/purchase price works in QuickBooks.

 

The cost/purchase price you've set up for an inventory item will automatically display when you create vendor transactions, like purchase order, expense, or bill. Thus, this amount is appropriate for any transactions to your Vendors.

 

While the sales price is for your customers' transactions, like estimates, invoices, and sales receipts.

The cost entered in the item list used to always be accurate.  But again approximately 9 months ago QB randomly will randomly pick up the customer price or even the list price or price issued on a credit memo as the COG.  And it doesn't just happen on select items, it happens randomly.  Every time we enter a purchase order we have to check every COG to ensure it is accurate.  

 

It is extremely time consuming.  Please help, thank you!

QB used to enter the COG from the item list.  But again, approximately 9 months ago it started to randomly pick up the customers quoted price, a credit memo price or normal sell price.  It doesn't happen on all items or certain items, random items and random prices.

Since this is more of an error in your account, I recommend looking into this link about our QuickBooks File Doctor. There are a few mini errors that you can receive in QuickBooks Desktop, but our File Doctor seems to do the trick to prevent those errors from coming back.
