Buy nowI am trying to determine why the balance showing on the balance sheet versus the balance showing when I click on the individual account to open up the transaction detail and then total by Customer is different.
Example - This balance from the balance sheet shows it is a credit balance for $78,366.73, and when I click to open the transaction detail in the account the balance still shows the same, but then when I go to the "Total by" filter and change that to "Customer", it is no longer in balance. It shows ~$140k
Most of my accounts are in balance when doing this, but a few are not. Trying to figure out why that could be the case.
Thanks!
Hello, gtnorton.
I'd like to work with you and find out what's causing the balance discrepancy on the Balance Sheet report and on the Transaction Detail data.
The accounting method is likely causing the Balance Sheet or the Transaction Detail report to show different balances.
The Cash or Accrual accounting methods can affect how balances and transactions show up on your report.
In any case, let's toggle between Accrual and Cash basis on the Report basis section on the Balance Sheet (or other reports).
If you'd like to know more about the Accrual and Cash basis, check out this article for more details: Differentiate Cash and Accrual basis.
Another thing to look out for is the Report period. The report and the transaction detail view may have been set under different report periods. Make sure the Dates are identical for the reports.
We can also read this article to know the reasons and the solutions to fix the balances on the Balance Sheet report: Fix a Balance Sheet that's out of balance.
After finding out the cause of the balance discrepancies, do you also need help managing your bank records and ensure they agree with your entries in QuickBooks?
We can utilize the Bank Feeds feature to do this. Check out this link if you need help setting it up: Set up bank accounts for Bank Feeds in QuickBooks Desktop.
I'll be around if you have more questions about managing your customer balances or reports. Just reply here and I'll get back to you as soon as possible.
Bothe of these are set to "Accrual" but they don't tie when totaled by customer.
It's most likely due to one of two things:
1) Not all entries that post to a specific account ledger require a customer name. If there are entries that do not have a customer name entered, they will be disregarded when you run a transaction report by customer.
2) The balance sheet date represents the balance of all entries posted to each account ledger since the inception of the business in QB. If you run a report, make sure the date range is set to match. For example, if you're running a balance sheet report as of May 31, 2022, make sure that your report is dated from the beginning of the business to May 31, 2022. This will match the balance sheet date range.
I am having the same issue on a report that I have used for more than 10 years! I works in QB 2020 or below but something changed with QB 2021. I have a work in progress GL Account and a construction draw account. Single accounts that all construction WIP & Draws are booked to. All types of transactions (bills, checks CC, JE ect) are booked here and every transaction, individual or a multi entry transaction (CC with more than one Customer costs) has a customer assigned to each line. When I filter for all dates and total by customer it does not work any more. I know this because I have Customers that closed out years ago and now their accounts balances are no longer zero. I just closed out a construction job yesterday and it is no longer zero. What did QB Do here?? Thanks
