Hi tonijcherry! Good Day! Yes, a general journal entry (GJE) can be deleted by,

  • Go to Company menu and select Make General Journal Entries
  • Go to the Main tab, and at the top left corner of the Make General Journal Entries window, click on the Left Arrow (Previous) to locate the GJE that should be deleted
  • If you know the GJE number, you may click on Find and in the Entry No. field, enter the GJE number

Once you find the j/e, it's <CTRL><DLTE> to delete it.

Please remember the first step should be to make a Backup of your file, just to be safe.

Once you have the transaction up, you can Ctrl+D to delete the transaction or choose Delete from the Edit menu.

What should I do if I deleted the account associated with the journal entry I want to delete?

You can only delete an account if there are no transactions linked to it. Since it's associated with a journal entry, you can make the account inactive.

 

QuickBooks Desktop won't completely delete an account, this is to ensure that your transactions are intact. Whenever you need the inactive account for your reference in the future, you can simply restore it.

 

To make an account inactive, here's how:

 

  1. Go to your Chart of Accounts.
  2. Select the account you want to hide.
  3. Right-click and choose Make Account Inactive.

Backstory... I have been doing this QuickBooks Company file since 2015. I'm pretty clueless about accounting and bookkeeping, but this volunteer position warranted doing it. So, in 2015, I built the company file and originally started making General Journal Entries for Liabilities that were due to my Permanent Maintenance Account. A few years in, I began using the Invoicing, Bills, Payments & Deposit features built into QuickBooks. This year, I decided to clean things up and I went back and updated all the old records back to 2015 with this new method and now, I see that I have duplicate amounts, which I knew would happen. My question is, if I just delete the General Journal Entries, what else will be affected, if anything? Will it alter my reconciled accounts? Will it throw something else off somewhere else? As you can see, I should only have $590 showing as "Due to Perm. Maint." Instead, I have $1180.00. Any help is appreciated. Thank you in advance! Quickbooks_GL Question.jpg

Once you delete a journal entry, it'll affect the accounts associated with it. It will also affect the reconciled period of the source accounts. You'll want to review the duplicate transactions and delete the unreconciled ones instead.

 

Also, it's best to seek some help from your accountant. They can review your accounting and clean up any errors.
