Join nowYou've got me here to help you with adding charges to an invoice, karenliu.
We have two options available to you for recording this in QuickBooks Online. You can either manually add these types of charges to a new invoice or adding a line item to an existing invoice. I'll show on how to create a service fee/charge item so you can add it to an invoice. You can follow down the steps below on how to so:
To create a service fee/charge item:
To add the charge to an existing invoice:
To create an invoice for an additional charge:
Using the steps above, you're now able to add the charges to your invoice.
For additional information, please refer to this link: Add service fees manually to invoices.
I'm also including this link that provides details on how to set up and apply automatic late fees to an invoice for your guide.
If you have any other concerns, please post them anytime here. I'd be glad to assist.
Hi Glinette - thanks for responding so quickly. When I said "add charges" i didn't mean service fees or bank charges. I meant that I am charging the client for additional work that is outside the scope of the estimate. i've confirmed with QB that anything i add to an invoice created from an estimate will be subtracted from that estimate. So now i'm trying to figure out how to back out almost $5000 from an estimate. if i don't do this, the estimate will close before I'm actually done with the work. Hopefully that makes sense . if you know how to credit money back to an estimate, I'd love to hear from you. Thanks!
Let me chime in, @karenliu.
First off, allow me to share with you some insights about adding other charges outside the scope of your estimate.
The estimate will automatically close once you add all the items from the estimate to an invoice. Thus other charges will have to be manually added on the invoice as a new line item regardless if the item is already present or not as pointed out by my colleague @ GlinetteC. You can refer to this article for more information about the process: How to manually add service fees to invoices.
However, you can manually reopen the estimate and add the item but you may encounter some issues since the already added items will be reopened as well.
Moreover, I'll be adding this article that might come in handy to you to learn more on how to apply automatic late fees to invoices: How do I set up and apply automatic late fees to my invoices?
