Cannot send invoices with Quickbooks Email

I am using QB desktop pro 2016.  I use Quickbooks email to send out invoices & have done so for many years with no issues.  Today I cannot send any emails via Quickbooks email.  I consistently get the message '503 Service Service Temporarily unavailable'.  When I  shut the error message window down, I have the email 'send' window that pops up usually when a 'send' is in process.  It then says 'Unable to send' & 'Quickbooks is unable to log into the server'.

Is there an issue with the system at the moment?  Or do I have a problem my end?  I need this resolved ASAP as I am about to do end of the month billing to all my customers.  Thank you for any help anyone can provide!

Cannot send invoices with Quickbooks Email

Hello Keelychurchill,

Let's get this working as as possible so you can send those emails out to your customers.

First, make sure that QuickBooks is running as administrator. Please follow these steps:

  1. Right-click QuickBooks icon and click Properties.
  2. Go to the Compatibility Tab.
  3. Deselect Run this program as Administrator.
Note: If Run this program as Administrator is grayed out, then first select the "Show Settings for All Users".
  4. Click Okay.
  5. Exit and restart QuickBooks.

Once completed, please try sending an email again to check if that works. Is the issue persists, please visit this article for more steps to follow: Error: QuickBooks is unable to send your email to Outlook.

Let me know if you're still the same error, I would gladly get back here to look for other options.

Cannot send invoices with Quickbooks Email

Hi there, @nohub.

It seems you've been through a lot in trying to send your forms via email. Allow me to chime in and help share some information about sending invoices with QuickBooks email.

To provide greater security and stability, all connections used by QuickBooks Desktop to access Intuit services will need to meet certain system requirements to keep features like Payroll, Online Banking, and Payments working.

While this is not working for you, I recommend changing your email preferences. You can use Outlook or other webmail services such as Gmail, Yahoo, and others.

Here's how to set up Secure Webmail:

  1. Go to the Edit menu, then choose Preferences, then select Send Forms.
  2. Select WebMail, then click Add.
  3. Choose your provider from the drop-down and enter your email address.
  4. Ensure that the Use Enhanced Security checkbox is checked, then select OK.
  5. When prompted, sign in to your Intuit account. The username or email address you use here may not necessarily be the same as the one you are connecting to your QuickBooks.
  6. Your webmail provider's login page will display. Sign in and choose to grant Intuit access.

Please refer to the following articles below for more details:

Unable to email transactions or send forms using QuickBooks email service

Set up email service

If you do have the following subscriptions mentioned above, then it's possible that you have entered an incorrect login account.

As always, you can contact our Desktop Live support if you need further assistance. Just press F1 on your QuickBooks and click the Contact us link.

This should get you on the right track in sending your forms. Please let me know if you have other questions about sending your forms through email. I'll be here to help however I can.

Hi there, mariabart58.

Thank you for posting here in the QuickBooks Community.

May I ask if you've received an error while sending invoices or estimates through QuickBooks email so that I can assist you further and fix the issue.

For now, let's follow the steps provided by my other colleague LilyC in changing your email preferences.

You'll have to use Outlook or other webmail services such as Gmail, Yahoo.

Here's how :

1. Select the Edit menu. Then, choose Preferences. Click Send Forms.
2. Choose WebMail, then click Add.
3. Select your provider from the drop-down list and enter your email address.
4. Make sure that the Use Enhanced Security checkbox is checked. Click OK.
5. Sign to your Intuit account if you received a prompt. The username or email address you use here may not necessarily be the same as the one you are connecting to your QuickBooks.
6. Sign in and choose to grant Intuit access when webmail provider's login page will show.

Please check this article for additional information how to set up your email service to send invoices, reports, and other transactions through Webmail or Outlook: Set up email service.

Please let me know how it goes or if you have any other concerns with QuickBooks. I'll be around to help you out. Have a good one.

I have the same thing. I was able to send one e-mail yesterday.  Then it wouldn't accept my password.  I followed all of the instructions it said to do and still nothing.  I even tried to do another update to see if that was the problem , but nothing...This is extremely frustrating and it seems when you call support for help all they want is to sell you the upgrades.

Cannot send invoices with Quickbooks Email

Yes the error has persisted since I signed up for your QB Payments.  I try and send the email invoice like always but now it says in the Webmail Authorization window that pops up "Couldn't sign you in" but I'm already signed in so what gives?  How do we make this work?  I have invoices Ihave to send now!  If I have to cancel my QB payments account I will.  I did not by a beta version software so I am not going to pay for your technical support when it is your inept programming and updates that creates the problems.  Every issue I have ever had with QB is after your updates which is why I generally try to avoid them!

Hi there, APL.

The update shouldn’t affect anything to your account. Thanks for bringing this to our attention. We’ll do a couple of steps to refresh your connection.

You can log out and log back in to start fresh, then try sending invoices after.

  1. From the Company menu, select My Company.
  2. Click you username in the upper right-hand corner.
  3. Click Sign out.
  4. Click Sign in and enter your credentials.

If you’re still getting the same error when emailing invoices, you can repair QuickBooks.

You can always go back to this thread if you need more help.

Cannot send invoices with Quickbooks Email

I have done everything above but 4. Make sure that the Use Enhanced Security checkbox is checked. Click OK. this does not show up when I entered my email.  I have tried everything suggested.  I can not figure out why our business email will not work but my personal one will.

Hi Tux50,

After you've checked the Use Enhanced Security checkbox, you'll be able to see an option prompting you to sign in to your account. Since you're still unable to use your business email, I suggest reaching out to our support team to verify your email setup.

Here's how to reach them:

  1. Go to the Help menu and select QuickBooks Desktop Help.
  2. Click Contact Us.
  3. Give a brief description of your issue and click Continue.
  4. Select either Talk to a Specialist or Message an Agent.

You can also run and customize reports that you want to generate in QuickBooks Desktop: Customize Reports in QuickBooks Desktop.

Feel free to get back into this post if you have more questions. I'll always be right here to help.
