Change data type in Custom Field to drop down list

Why can I not edit a previously created custom field to change the data type from 'text and number' to 'dropdown list'?  It's greyed out and won't allow me to change it.

Change data type in Custom Field to drop down list

I'm glad you made it here, deb1171.

Looks like you're using the QuickBooks Online Advance(QBOA) since this is the only version that has the Custom Field feature.

Let's try a few troubleshooting steps to isolate this issue about editing a previously created custom field to change the data type. There are times when a browser's cache becomes full or damaged. When this happens, issues like this can occur.

To start with, let's try logging in to your QBO account using an incognito or private browser. Since this doesn't store data in the cache, it the best place to isolate browser issues.

Kindly use either of the following shortcut keys:

  • Google Chrome, press CTRL  + Shift + N
  • Mozilla Firefox: press CTRL  + Shift + P
  • Safari: press Command + Shift + N

Then, try editing the fields again. In case you need a handy reference in learning more about managing custom fields, check this out: Create and edit custom fields in QuickBooks Online Advanced.

If it works, you may want to clear the browsing history of your regular web browser. This will remove previously-stored browsing data that might have caused the issue. Otherwise, you can try using other supported browsers to be thorough.

We also have easy-to-access articles, webinars, and video tutorials that will help you in familiarizing the different tasks, features, and functions of QBO. Below are the following:

Be sure to check back in with me here and let me know how this goes. I'm always around to help you in any way I can. Have a good one.

Change data type in Custom Field to drop down list

Unfortunately, this did not work.  I can add a new custom field and add dropdown to it, but it still won't let me  edit the old one.  I'm wondering if this is because this is a field that was brought over from QB Desktop into QB Online.  We will try and work with a new custom field and make the old one inactive.  Thank you!

This edit suggestion didn't work for me, either, and I am trying to edit a brand-new custom field (not brought over from a previous version).

Change data type in Custom Field to drop down list

I appreciate your efforts in forming the steps shared by my peer above, @Amy D.

It's my priority to ensure that you'll be able to edit your custom field in QuickBooks Online smoothly.

To get this matter sorted out, I'd suggest inactivating the said field and create a new one. Know that if you make a custom field inactive, your past data won’t disappear. You’ll still see the field on sales forms and purchase orders you used it on, but it won’t appear on new forms.

To do that:

  1. Press the arrow next to Edit.
  2. Select on Make inactive.
  3. Hit Yes in the pop-up message to confirm your choice.

After that, you may create the said field once more. To guide you in this process, you can always use this reference: Learn how to create and use enhanced custom fields in QuickBooks Online Advanced.

However, if the problem continues, I recommend reaching out to our Customer Care Team. They have the tools that can help identify the root cause of this issue and provide a fix.

Here's how to reach them:

  1. Click on Help at the top menu bar.
  2. Hit on the Contact Us button.
  3. Enter a brief description of the issue in the What can we help you with? box.
  4. Press on Let's talk.
  5. Select on Get a callback.
  6. Key in your contact details, then tap on Confirm my call.
