Credit Memo Help!

I have issued more than a few refunds and they have all gone smoothly, however when I was reconciling my bank account last week I realized that 2 refunds that I issued do not show up in the Register. When I go in to Credit Memos these two do not say "Refunded" under where it says Credit Memo. This money came out of my account, so I know that it IS refunded. How can I fix this in my register? I have included a screenshot of a Credit that does show up in my register, as well as one that does not. 

Thank you in advance for any help! BTW, I use Quickbooks Desktop.

Credit Memo Help!

I can help you create a customer refund in QuickBooks Desktop.

 

The best way to fix this is by deleting the credit memo you created and recreate it as a refund. You can follow these steps:

  1. Go to the Customers menu and select Create Credit Memos/Refunds.
  2. From the Customer:Job drop-down, select the correct Customer.
  3. Enter the returned items in the line item area.
  4. Click Save & Close. On the Available Credit window, choose to Give a refund
  5. Select OK to save it.

Credit Memo Help!

Hi Alex, thank you for your response. I deleted my old credit memos and created new ones. Now the credit memo shows as refunded, but there is still no note of it in my register! I created the new credit memo, then unchecked the box that says "process credit card when saving" because we've already refunded his credit card. How do I see that in my Register?

Credit Memo Help!

I've got a couple of ways on how to locate the credit memos on your register, @Rachel Q.

 

The account type you've chosen when you created the credit memos is the basis where they'll be posted to. To verify this, you can pull up the Transaction Journal report. Before that, you'll have first to highlight a credit memo entry. Here's how:

 

  1. Click the Customers menu, and then choose Customer Center.
  2. Select the right customer name, and then locate and highlight a credit memo transaction.

  3. Press Ctrl + Y on your keyboard to open the Transaction Journal report. Alternatively, you can click the Reports menu at the top and then pick the said report.
  4. Then, check their accounts on the Account column. You may double click the said transaction to see their account types.

Once done, you can simply go to Lists, select Chart of Accounts, and then choose the appropriate account/s where they belong to.

 

To view all the credit memos you've entered, you can run the Transaction List by Customer report and then customize it to show the said transaction.

 

Let me show you how:

 

  1. Click the Reports at the top menu bar.
  2. Tap Customers & Receivables and then choose Transaction List by Customer.

  3. Click the Customize Report button, and then go to the Filters tab.
  4. Type and then select Transaction Type.
  5. Under Transaction Type drop-down (▼), pick Credit Memo.
  6. Hit OK when you're ready.
