Custom Field Reporting - Unable to Add Custom Field to Reports

We have a custom field on our purchase order template called "vendor catalog number", this custom field was created by someone at the company before I began my time here. This column does not show up as an option to add to any of my customizable reports (purchase order detail reportss nor transaction detial reports. Please Help!

Hi there, BioduroPurch.

 

I can think of two ways on how this column was added. 

 

First, let's check the vendor profile if the "vendor catalog number" field was added from there. Then, we'll be able to identify the name for it in your custom reports. 

  1. Click on the Vendor Center menu.
  2. Double click on the vendor name.
  3. Click on the Additional Info tab and click on Define Fields. 

The same thing with the second option. It could be added from the PO template. Here's how to check: 

  1. Go to Lists menu.
  2. Select Templates.
  3. Choose the PO template.
  4. Click on Additional Customization
  5. In the Columns tab, check the Screen and Print boxes for the Vendor Catalog Number.
  6. Click on OK and click on OK6.PNG

We can now customize the report to show this column: 

  1. Click on the Reports menu.
  2. Select Custom Reports.
  3. Select Transaction Details.
  4. In the Display tab, search for Other 2, the name of the column in the template. 1.PNG
  5. In the Display tab, select the Vendor Catalog Number in the COLUMNS section. 
  6. Go to the Filter tab.
  7. Search for TransactionType
  8. Select Purchase Order
  9. Click on OK
  10. Search for Posting Status, select Non-Posting and click on OK.  2.PNG

You can also run other reports and follow the steps above in customizing them.

I went through all the steps and that field was not one of the defined fields in the purchase order template. I also added the necessary column to the purchase order template:

When I go to the transaction detail report, I am still unable to add the customized field. The field still shows up as "other 2" instead of "Vendor Catalog Number". When I add "other 2" to the report no data show up under that column.

The steps provided by my colleague should help you add the Vendor Catalog Number column in the Transaction Detail report. To isolate this, try to search the name of the column instead instead of manually scrolling down in the Columns section.
