customer activity report

I am trying to run a report that shows all of my customers and the last time there was any activity on their account.

I was trying to find a way i can run a report that would show me all of my customers and their activity.  We have a system that any accounts with no payments or new sales orders within a 4 month time frame that account goes out of protection so our other sales reps can call and sell them.


So i am trying to get a report that shows a complete list of all customers that have no payments applied to their account, and no new orders written in the last 4 months as of today or any day i choose in the future.

I can help you run a report that shows all customers with no activity on their account.


You can customize the Customer Balance Summary for this. Let me show you how:

  1. Choose Reports at the top menu bar.
  2. Under Customers & Receivables, select Customer Balance Summary.
  3. Set the date range at the top.
  4. Click the Customize Report button at the top.
  5. Under the Display tab, click Advanced.
  6. Under Display Rows and Display Columns, choose All
  7. Click OK twice.

The screenshot below shows these steps as well.




Since we are unable to remove the customers that have balance in this report, you can export it to Excel and manually delete them. Just click the drop-down next to Excel and select Create New Worksheet.


Following these steps should help track the customer with no transactions within the last four months. Reach out to me if there is anything else you need. Have a great day.

Hi there. I am looking for a similar report in QBO but I want to see Customers that have NEVER had any activity. [The problem arises from bad data imported from QB Desktop and I intend to delete/inactivate them.] thanks a lot

Thank you for reaching out to us here in the Community. I'd be glad to lend a hand with your concern about your customers in QuickBooks Online.


Right now, the available reports in the system only show results if there are transactions assigned to the customer. Running reports for those that never had activity is currently unavailable.

However, you can run the Customer Contact List report and manually click each one to view if there are any activities. Once you click the name, it'll route you to the Transaction List section.


Here are the steps:


  1. On the left panel, click Reports.
  2. In the search bar, type in Customer and click Customer Contact List.
  3. Click the customer name.

You can also try running the Transaction List by Customer report through these steps:


  1. On the left panel, click Reports.
  2. In the search bar, type in Transaction and click Transaction List by Customer.
  3. Choose a date range.
  4. Select Customer next to the Group by drop-down.

Regarding this report:  Is there a way to show just the 'active' customers.  I have a lot already inactive and they show on the list and I would prefer not to see those ones.

Hey there, @RS1985. Happy to help out here.


After reviewing the Customer Balance Summary report, it appears the option to filter by Customer Status is unavailable at this time. For now, all customers, regardless of status, will show in that report.
