Do I need to send a new invoice to my customers each time they make a payment so they can see their balance owed?

An invoice is sent before a payment is received from your customer to bill them for the products purchased. You'll want to create a statement for your customer so they can see their balance owed.

 

Here's how:

  1. Click Customers menu, select Enter Statements Charges/Create Statements.
  2. Choose the appropriate A/R account.Note: QuickBooks displays the A/R Account field ONLY when your Chart of Accounts contains more than one A/R.
  3. Check the statement date.
  4. Select the date period of the transactions.Note: You can specify the dates or you can include all open (unpaid) transactions as of the statement date.
  5. Choose the customers you want to print statements for.
  6. Choose additional options.
  7. Click Print or E-mail depending on how you want to send the statements to your customers.

After payment is received, this will be downloaded from your bank. You can match the transaction in QuickBooks: Add and Match Bank Feed Transactions in QuickBooks Desktop.
