I need to create a report with:

 

Customer name and shipping address

Product price

Product name

 

In order to create a spreadsheet that I would then upload to my stamps.com software. I cannot use quickbooks software it has to be online for my staff to use while out and about.

 

What leve of quickbooks online would I need?

Yes, you're right! You'll have to manually merge the two exported reports by copy and pasting the information to Excel.

 

For your second concern, you can go to the Apps menu in your QuickBooks Online or visit apps.intuit.com and look for the apps that suit your needs. This way, you'll be able to merge your exported reports easily. Here's how:

 

  1. Go to the Apps menu in the left pane.
  2. Click Find apps then enter and look for the desired app.

For your third concern, you'll be able to access the app you like regardless of the type of subscription you have.

Based on the details shared above, I still suggest you run two separate reports. Then, manually combine them to get the data you need. This is because QBO doesn’t have a built-in report to show the customers’ information and the associated orders.

I can share some insights about how you can come up with the data you need in QuickBooks Online.

 

There are two reports available to show the customer and product details. You can try running the Customer Contact List and Physical Inventory Worksheet report and export them to Excel.


Once done, I suggest manually merging both of the exported data into a single file. When using the reports in QuickBooks, there's an option for you to filter the columns that you want to show and hide.

 

Here's how you can run the report:

 

  1. On the left panel, click Reports.
  2. Select Customer Contact List or Physical Inventory Worksheet.
  3. Press the small cogwheel icon within the report.
  4. Put a checkmark on the columns you want to show.
  5. Hit the export icon.
  6. Choose Export to Excel

Thanks for that. I do not see an option for a physical inventory worksheet. Furthermore I am not keeping inventory on these products. I was able to successfully pull the name and shipping address as well as email so that was helpful. I am in the $7/month plan right now.

The Physical Inventory Worksheet report is only available in QuickBooks Online Plus and Advanced version. Since you're using the Simple Start version of QuickBooks, you can run and export the Product/Service List report to Excel. This way, you can see the product price and name on this report. 

 

Here's how:

 

  1. Click Reports from the left panel.
  2. Search for Product/Service List report.
  3. Select the export icon and choose Export to Excel.

Once done, you can now merge both Customer Contact List and Product/Service List data into a single file.

Thank you. That seems to work for my needs, would I be manually merging my two excel files by copy/pasting?

 

Aside from this method, is their an app such as shipstation that might make this easier? And if so which leve of online plan would I need to buy to use such an app?

Hi, now that I have more orders inputted and I uploaded all my customers I tried this again. My problem is, how do I know which customer ordered which product? I only want the last 3 days worth of orders to be created in my report, as we ship every three days. I would have thought there would be a way to download just my sales receipts from say the last three days and have all that info. appear in an excel file and then I could upload that into stamps.com.

Hi there, @G_Paulhus.

 

You can try running the Sales by Product/Service Detail report to generate the information you need from your sales receipt. Then customize the report by the customer’s name and date.

 

Here's how:

 

  1. On the left navigation bar, click Reports.
  2. Select Sales by Product/Service Detail.
  3. Click the Customize button.
  4. Filter the date range.
  5. Select Filter and check Customer then select the threes customers' names.
  6. Check Transaction Type and choose Sales Receipt.
  7. Click Run report to refresh. 

 

Once done, you can export your reports to Excel from QuickBooks Online.

Thanks for the idea. However, there is no option that I see to include the customer name, address and email and even phone which I would need.

 

How do other people make shipping labels from Quickbooks orders? I can't be the only one wanting to do this.

Let me help you with your concern. You can use the Customer Contact List report to pull up the customer's name, address, email, and phone number statement. Follow these steps to run the report:

 

  1. On your left panel, click the Reports tab.
  2. Type Customer Contact List report in the Find report by name box.
  3. Click the Cogwheel icon within the report.
  4. Put a checkmark on the column you want to show in the report.

Once done, it will show all the information of the customer. I've also added an article that helps you customize a report.

 

Also, the shipping labels feature is only available in QuickBooks Desktop. However, in QuickBooks Online you can use third-party apps and search for the application that suits your needs. You can follow the steps provided by my colleague ReyJohn_D for searching the apps.

That doesn't help because my sales report doesn't show which customer bought what. So I have no way of knowing which name to look up.

You'll want to run and customize the Transactions List by Customer report to show the information that you want such as your customer name. Let me guide you with the steps.

  1. Click Reports on the left menu.
  2. On the Search bar, type the Transaction List by Customer report.
  3. Make sure to select the correct report period.
  4. Click Customize, then select Filter to show the information you need.
  5. Click Run Report.

Hi, I don't see Transaction Report by Customer. There is a Transaction list by date, Transaction list by Vendor, 1099 Transaction Detail Report, and recent transactions, but none by customer.

If you mean Transaction List by Customer that my colleague provided above, we can use the Find report by name search bar to search for reports by name. Also, you can browse the list, hover your cursor to Sales and customers.

If you wish to add this report to your Favorites for convenience, you can just simply click on the star icon beside the report.

Hello there, G_Paulhus.

 

The reports available on your QuickBooks Online account depends on the plan. With these reports you've listed, it seems that you subscribe to the QuickBooks Online Simple Start. You can refer to this article for more details: Reports included in your QuickBooks Online subscription. You'll want to upgrade your plan to have more reports that are beneficial into your business.

 

As a workaround, you'll want to add a note or a summary of the items/products in the Message displayed on statement field when creating a sales transaction. That way, you can pull the Transaction List by Date report to see the list of transactions with customer names and items/products.

I was able to make the memo aspect work so that was good. However, say if I have 30 orders in a day, am I supposed to copy and paste the names to get the billing addresses to pull up also? Like do them one by one? I wanted something that allowed to download all the regular info. needed for an order to upload into stamps.com. I can pay extra for a higher plan if it will make this easier for me, but so far I am not convinced any of the options are easy.

You'll need to pull up two separate reports to get the data even if you upgrade the subscription. The first one is Customer Contact List and Sales by Customer Summary for the other.

 

Then, export them to Excel and combine the information from there so you can upload them into stamps.com.

Thank you for providing those articles. I still don't understand though, say if I have 20 orders from 20 different people on a given day. Am I having to manually search for each of those 20 customers names, addresses and email addresses to associate with each of the 20 new orders I received, one by one? That doesn't really save me any time versus just typing it all over again as I type fast.
