Duplicate account from bank feed: How do I merge the two accounts? Error Message: You cannon merge.. both contain online information

When importing transactions from my bank a message popped up and asked if the import was for an existing account.  I selected yes, and the only account that was displayed in the window.  The import created an additional account instead of adding to my existing.  Now I have two accounts and I'm not able to merge.  The error message when I try to merge states: "You cannot merge two accounts which both contain online information."

Make sure there are no Pending transactions in the Banking Feeds Center for either account; you can "ignore and delete" them. Then, edit each account and Deactivate the online services. Then you can Merge them. Then, set up Online access again.

Let me provide you the steps on how to edit the accounts, icelandadventure.

 

As mentioned by @qbteachmt, make sure that there are no pending transactions in the Banking Feeds.

Here's how:

  1. Go to Banking, then choose Bank Feeds Center.
  2. Click Transaction List.

If the transaction needs to be deleted, you can delete it, but if it needs to be added make sure to add it to your register because you can't re-download it.

 

Once done, we need to deactivate the other account because we can't merge an account if both accounts are active.

 

Here are the steps:

  1. Go to Company, then select Chart of Accounts.
  2. Click on either Checking or Savings account.
  3. Then right click, and select Bank Feeds Settings.
  4. Click the radio button Deactivate All Online Services.
  5. Click Save and Close.

Can I merge 1 connected bank account with one that is not connected? 

I have the same problem. But if I disconnect one, can I still merge if the other is still connected?

Yes, you absolutely can! When merging accounts, at least one needs to be deactivated/disconnected, since you can't combine two active/connected accounts. Just make sure that there are no pending transactions in the Banking Feeds as mentioned above.

 

Here's how to merge them:

 

  1. Go to the Accountant menu at the top to get to the Chart of Accounts.
  2. Locate and right-click the deactivated/disconnected account, then choose Edit Account430.PNG
  3. Make the Account Name same with the active/connected, then hit Save & Close.
  4. Select Yes on the prompt to complete the process. 431.PNG

I logged in my bank into the quick books it downloaded the accounts and one was operating the other payroll. So I connected them to each. The payroll account downloaded its transactions but only for the last month or so. The operating would not pull the transaction list. So I called my bank and asked. They said I was supposed to use the webex link and download the transactions as a document and click it and it will automatically add into quick books. So I did and it created new accounts would not let me connect it to operating and payroll in my chart of accounts. All the transactions were here and I was able to start assigning them to their right accounts deposits transfers etc. But now I still have the old bank pulled data in for the operating and payroll and these two are listed as Gen and Gen2. How can I get rid of the few transactions that came with the payroll account and merge the two copies of each bank account

We're unable to merge bank if one or both accounts are connected to Online Banking. I'll share the steps in how to ignore the transactions that are still in the payroll account. Then, you need to deactivated the online services so you can merge them together. Here's how:

 

  1. Go back to the Bank Feeds Center and open the payroll account. 
  2. Click Transaction List.
  3. Select all transactions that need to be excluded or removed.
  4. Click the drop-down list beside Batch Actions and select Ignore.
  5. Select Yes to confirm that you want to delete the transactions.

 

You also need to make sure that there aren't any pending transactions in the other account. Once done, follow the steps in this article on how to deactivate Online Banking in both accounts: Disconnect Bank Feeds For An Account In QuickBooks Desktop.

 

Then, follow the steps in the previous responses and this article on how to merge accounts: Merge List Entries In QuickBooks Desktop.

Hi, I have a question. This is the scenario, the previous bookkeeper deleted the bank#1 with a running balance. Upon checking, Bank#1 is balance up to June 6, 2019. The date after this all the expenses is not going into this account just the payment. (bank#1 is the main account with CC under it so one statement with two account under it). November 10, 2020 came and what she did is she forced closed the bank so QB created an entry to reverse the payment recorded in bank#1 then make it inactive. February 2021 I came to the company and I saw that the QB is missing CC under the bank#1 so what I did I connect both of the bank to online banking. so the CC expenses goes into CC Account and Payment goes into Bank#1. I am planning to merge the CC and the bank but both of them have a reconciled transaction inside and connected on online banking. Can I merge them regardless of that? About the six month worth of expenses that are missing where should I add it? on the bank that was forcely closed or to the existing bank? Because what I want to do is enter it in the forcely closed bank so that the expenses will be recorded properly. Please confirm if this is correct before I merge the other two accounts. Thank you.

Congrats on making your first post here in the Community. I hope your day is going well so far. 

 

Yes, you're on the right track. You can merge them, as long as they have the same name, etc. As far as the bank connection goes, only one would be connected to the account instead of both. Once you merge them, they should transfer over if the transactions are saved in QB. 

 

Before merging, I recommend creating a backup just in case. Here's how: 

 

  1. Go to the File menu. 
  2. Pick Create Backup
  3. Choose a safe location for the file. 

 

It's that easy.

Thank you. I just want to clear. We have 2 record of Bank#1 and 1 CC under the bank#1 the first one is the one that was deleted by the previous bookkeeper the other one is the one that I connected to the bank together with the 1 CC. In short I have 3 bank accounts that I want to merge the one that was deleted(bank#1), the existing(bank#1), and 1CC can I do that? the deleted bank I will make it active again and enter the expenses worth 6mos. to the deleted bank after that I will merge the 3 accounts. What will happen to the reconciled item inside this banks?

After merging accounts in QBDT, the reconciled items will stay the same. However, we'll have to take note that you can only merge the two bank accounts. With that, there's isn't a way to merge between a bank account and a Credit card account.

Hi Candice,

 

Thank you for answering me. The CC that I want to merge to the Bank#1 is a sub account of that bank. The problem is the expenses was recorded in the CC and the payment goes into Bank#1 that's why I want to merge it. I plan to merge first the Inactive bank and the Active bank into one. Inactive bank have the record of CC expenses. from 2018-June 6, 2019. Then  starting June 7, 2019 onwards the CC expenses stop coming into that bank account only the payments record. So, I am thinking if I can merge the sub account CC to the bank?

Allow me to chime in and share with you some insights on how we can merge your credit card (CC) account with your bank account.

 

To merge your CC sub-account, you’ll want to unlink it to the parent account. This way, you can seamlessly merge the account to your bank. Let me show you how.

 

  1. Go to the Accountant menu in your QuickBooks Desktop (QBDT).
  2. Select Chart of Accounts.
  3. Locate the subaccount you want to merge, right-click it and select Edit account.
  4. Uncheck the Subaccount of box. 1.PNG
  5. Change the Account Type and Account name to the bank you want to merge.
  6. Then click Save & Close.

Thank you for clearing it out. Actually, I am an Accountant I just want to confirm if the steps that I'm taking was correct. I know the process on how to merge it and I have to disconnect either of the two in online banking so I can merge it. My next Question is will the feeds from Bank#1234 and CC-4321, after I merge it, goes into the Bank that I kept? how am I gonna connect the CC and Bank to one bank in QB?

I can share some insights about merging accounts in QuickBooks, @Vhan2021.


The moment you merge accounts in QuickBooks, all transactions will go through to the bank account you’ve kept. However, this process is only applicable if both account types are the same. Since your Credit Card and your bank are different accounts types, that means this isn’t possible.


When connecting accounts to online banking, please know that you’re unable to link both a parent account and its subaccounts.

Thank you so much for clearing everything out. Meaning it's normal that CC will not receive the payments? Because the payments for CC expenses goes into the main account. Bank#1234 record shows all the payments and

CC-4321 shows all the expenses.

Yes, you're correct, Vhan2021.

 

It's normal that Credit Card accounts don't receive payments. The transactions posted on this account are expenses such as your purchases. The bank account on the other hand will normally show the payments you made on that credit card. The flow of your bank transactions is correct.
