Exporting Reports in a Usable Format

Reports that are exported into Microsoft Excel contain numbers stored as text and other formatting issues that make the reports extremely difficult to work with, requiring extensive manual reformatting. Is there any way around this, or will there be a fix at some point?

Thanks for reaching out to the Community today. Let me provide you with some details about exporting an excel file in QuickBooks Online.

 

You'll want to highlight the number column to excel to batch format it to number, you want to format.

 

If so, I'd suggest reaching out to your IT professional for further assistance. This way they'll be able to check the functionality of your excel. If there's no identified problem on your Excel.

Hi Grace,

 

Thank you for your advice. Selecting entire rows or columns and converting them to number format does not work. The cells stay in text format, and if any of the cells I'm including in a formula are blank, Excel does not treat them as zero, but instead it gives me an error. The only way I can fix this is to go cell-by-cell individually and convert them from text to number, which is extremely time-consuming when dealing with large amounts of data.

 

I have an Office 365 subscription, and my Office products are always updated. I keep my Windows updated as well. So, I know it's not a technical issue with Excel software.

 

My bookkeeper, who is a Certified QuickBooks ProAdvisor, also complains of this problem. It's unacceptable to me that an accounting software program creates report export that are so difficult to actually perform accounting functions with.

When opening the downloaded file, it will be in a protected view where you cannot make some changes. Please make sure to click the Enable Editing button located below the menu bar. This way, you can edit the rows and columns. Here's a sample screenshot for reference:

  1. Click the Help icon located in the upper right-hand corner.
  2. In the Help window, click the Contact Us button located at the bottom.

Consider to export the data as numbers, not reports. Utilize the trial period of a 3rd party exporter tool to do so.
