For my business I have a refundable damage deposit. When I refund the $500 quick books is still keeping the fee of the refund I do with every customer

You'll want to consider if there's a need to void the transaction or refund your customer. Let me elaborate on some exceptions.

  • Certain debit card transactions can be voided only up to 90 minutes from the original sale transaction or before batch close, whichever occurs first, after which a transaction cannot be voided and will need to be refunded.
  • Transactions that are already funded or deposited to merchants' accounts cannot be voided and will need to be refunded.

Also, you'll have to make sure that all refunds, returns, and voids must have an original transaction. A card account cannot be credited funds if there is no corresponding original sale transaction. For more information about refund transactions, please check these articles:
