For the past several days, I'm being bombarded with duplicate transactions that are artificially inflating my Profit statement. How do I keep this from happening?

I spent over an hour on chat with no resolution. They said to do account reconciliation, but that didn't help.

Hi there, @hannah-holmespsy. I'd like to share some possible causes of duplicates and solutions to fix this.  

 

Duplicate transactions can sometimes be caused by adding transactions from the Banking page instead of matching them to QuickBooks Online (QBO) entries. In this case, you'll want to undo the process and match the downloaded transactions with those added in QBO. Let me guide you how:

 

  1. Sign in to your QBO account and go to the Banking/Transactions menu.
  2. Next, click Banking and select the Categorized tab.
  3. Check the box of the transactions you want to undo.
  4. Then, click the Undo button.

 

When done, the transactions will be added back to the For Review window where you can categorize and match them correctly. 

 

Another cause of duplicates is when transactions are entered or downloaded twice. To confirm if this is the issue, let’s review your Audit log and check who made those changes. Here's how:

 

  1. Go to the Gear icon and select Audit log.
  2. Click the Filter drop-down arrow.
  3. From the Users field, choose All users and tick the radio button for Show all events. Then, check the Transactions box.
  4. Next, select Apply.

If the duplicate transactions are from the For Review tab, you can simply exclude them. Refer to the steps below:

 

  1. Navigate to the Banking or Transactions menu.
  2. Click the affected bank account and go to the For Review tab.
  3. Select the duplicate transactions. 
  4. Then, choose Exclude
  5. To remove these transactions permanently, simply select the Excluded tab and then, check the box to the left of the Date column to mark all transactions. Then, select Delete.

Also, to ensure that your bank and QBO balance are in sync, you have to reconcile your transactions regularly.

I have a question regarding a similar circumstance.  Over the course of a day or 2, 8 identical transactions came through the bank feed around Feb 17.  They were dated Feb 2.  There was an identical, CORRECT transaction that came through on Feb 2.  I categorized that transaction.  

This is the first time duplication has happened since setting up QBO in June of 2019, so I don't think it has to do with the set-up, but is there a cause for this I should look at?  Will intuit send a transaction that will correct these duplicates?  I moved them from the bank feed to "excluded".

Appreciate you for sharing your similar issue about the doubled transactions. Good thing you were able to exclude and manage the duplicate bank transactions.

 

Intuit will not send a transaction to correct those duplicates. The information we receive is dependent upon what your bank or financial institution shares with us.

 

My colleague mentioned the cause of duplicate transactions, which is adding transactions from the Banking page instead of matching them. Another reason why there are duplicate transactions is when you manually update the bank by clicking on the Update button, and the bank does automatic downloads at the same time.

 

However, since the duplicate transactions appeared on a different day and dated the same date (Feb 2), I'd recommend checking your bank website if there's an issue with this scenario.

 

Also, I want to use my other resources to check and verify if your financial intuition is currently experiencing duplicate entries in QuickBooks. Can you share your bank's name? This helps me check more resources and provide concrete details of your concern.

Thank you for your response!  The transactions were payments from our Credit Card account.  The original charge on Feb 2 was the only charge on our CC statement (Chase).  If I look through my bankfeed "categorized" items, I see most items under column "assigned to" are marked as "added to" rather than "matched".  It looks like this is an option when I am in the bankfeed as I can put the name, and categorize it .  I have done it this way from 2019 and haven't had an issue?  The credit card items are mostly expensed rather than have a bill or invoice to match it.  But it sounds like if possible it is better to match rather than expense an item?  

On the day these 8 duplicate transactions came over...there were originally 3 identical transactions.  On that day, I did hit the update button a number of times.  I frequently use the "update" button, because I noticed when I do, transactions will come over that weren't there before.  And again, I've never had a duplicate transaction before this.
